Job Title: Building Manager (2 Jobs)

Duty Station: Kampala, Uganda
We are seeking a proactive and highly organized Building Manager to oversee the operations, maintenance, and administration of a commercial, residential, or mixed-use property. The Building Manager will ensure that the building runs smoothly, tenants are satisfied, and maintenance and safety standards are adhered to. This is a hands-on role that requires excellent problem-solving skills, strong communication, and experience in property management or facilities management.

Building Operations Management:
Oversee the day-to-day operations of the building, ensuring that all systems (HVAC, electrical, plumbing, security) are functioning properly.
Coordinate with vendors, contractors, and service providers for building maintenance and repair work.
Conduct regular inspections of the building’s common areas, exterior, and facilities to ensure cleanliness, safety, and compliance with building codes and regulations.
Implement and oversee preventative maintenance programs to avoid major issues.
Tenant Relations:
Serve as the primary point of contact for tenants, addressing concerns, complaints, and requests in a timely and professional manner.
Ensure tenant satisfaction by addressing issues quickly and efficiently, fostering positive relationships.
Coordinate move-ins and move-outs, conducting property inspections to ensure units are ready for occupancy and returned in good condition.
Ensure that tenants adhere to building rules and regulations.
Maintenance & Repair Management:
Oversee all maintenance requests, ensuring they are handled promptly and within budget.
Ensure all required building permits, safety certifications, and inspections are up to date.
Manage in-house maintenance teams or supervise external contractors for repairs and maintenance.
Handle emergency situations (e.g., plumbing leaks, power outages) promptly and effectively.
Budget & Financial Management:
Develop and manage the building’s operating budget, ensuring financial goals are met.
Approve expenditures for repairs, maintenance, and other building-related expenses.
Prepare monthly or quarterly reports on financial performance, maintenance activities, and building operations.
Monitor utility usage and seek opportunities for cost reduction (e.g., energy-efficient solutions).
Health & Safety Compliance:
Ensure that the building complies with local safety codes and regulations, including fire safety, emergency exits, and health regulations.
Organize regular safety drills and ensure tenants are aware of emergency procedures.
Implement and maintain building security systems, including surveillance cameras, alarms, and access control.
Address safety hazards immediately and keep accurate records of safety inspections.
Vendor & Contractor Management:
Negotiate contracts and manage relationships with service providers, including cleaning services, security personnel, maintenance contractors, etc.
Ensure that all vendor services are delivered according to the terms of their contracts and within budget.
Monitor the performance of third-party contractors and suppliers to ensure high-quality work.
Administrative & Documentation:
Maintain accurate records of tenant leases, maintenance logs, and building-related documentation.
Ensure that all tenant communications (e.g., lease agreements, notices, reminders) are documented and delivered on time.
Handle the preparation and renewal of lease agreements and manage tenant invoicing and payment records.
Prepare and distribute building-related notices (e.g., maintenance schedules, policy updates, emergencies).
Qualifications, Education and Competencies
Bachelor’s degree in Business and Marketing.
Highly networked with great marketing skills.
Strong administrative skills and good customer relations.
Business oriented with unbeatable sales records.
