Position Overview
The Tour Coordinator will support the operations and reservations team at H & W Signature Journeys in delivering seamless luxury safari experiences across East Africa. This position requires a highly organized and service-oriented professional who can plan itineraries, manage travel logistics, coordinate with suppliers, and service providers, and ensure an exceptional client journey from start to finish.

Duties, Roles and Responsibilities

Operational & Reservations Support

  • Assist in making hotel and lodge reservations, securing permits, coordinating transportation for all clients, and ensuring compliance with local regulations.

  • Support itinerary preparation and ensure all arrangements meet the company’s luxury service standards and tailored to client needs.

  • Prepare and update tour files with client details, bookings, and supplier confirmations. Itinerary Planning & Logistics

  • Work closely with suppliers, vendors, service providers, and local partners to deliver premium services.

Client Relations & Communication

  • Receive and respond to client inquiries under close supervision.

  • Draft professional correspondence to clients, partners, suppliers and service providers.

  • Ensure clients receive timely pre-departure information, updates, and travel support.

  • Serve as the primary contact for clients before, during, and after their safari.

  • Deliver on-site assistance and ensure all client concerns are addressed promptly.

  • Collect and analyze client feedback to improve future experiences.

Financial & Administrative Management

  • Support in compiling invoices and tour expenditure reports for all tours.

  • Maintain accurate records of bookings, invoices, and client payments.

  • Track supplier payments and manage tour-related petty cash.

  • Maintain accurate financial and operational records.

Coordination & Reporting

  • Prepare and submit monthly operations reports and weekly updates about daily company operations to the Managing Director.

  • Coordinate with the tour guides in the field to monitor the ongoing tours to ensure smooth operations.

  • Support post-tour evaluations and client feedback follow-ups.

  • With support from the managing director, resolve logistical issues and client concerns quickly and professionally.

  • Support the development of new tour packages and destination options.

Marketing & Business Development

  • Contribute to the design and promotion of new luxury safari packages.

  • Assist in developing marketing strategies to attract new clients.

  • Research new destinations and activities to expand company offerings.

Qualifications, Education and Competencies

  • Bachelor’s degree in Tourism and Hospitality, Business administration, Marketing, Public Relations or related field.

  • Experience in tour coordination, hospitality, or reservations is desirable.

  • Strong organizational and multitasking skills, with the ability to meet tight deadlines.

  • Excellent interpersonal and communication skills, both written and spoken.

  • Proficiency in Microsoft Office and relevant travel management software.

  • Knowledge of East African tourism destinations, attractions, and logistics.

  • Fluency in English; knowledge of additional languages is an advantage.

  • Fresh graduates are encouraged to apply.
