Job Description
Job Opportunity: Stores Assistant (1 Position)
Organization: Posta Uganda
Duty Station: GPO Kampala
Job Level: Five (05)
Reports To: Manager, Finance

Purpose of the Job
The Stores Assistant will support efficient inventory and stores management operations by receiving, organizing, issuing, and maintaining accurate records of materials and supplies in accordance with Posta Uganda’s procedures and standards.
Duties, Roles and Responsibilities
Receive, inspect, and verify all incoming goods against purchase orders and delivery documentation.
Accurately record all items received and promptly update inventory management systems.
Arrange and store inventory items in appropriate locations for accessibility, safety, and efficient retrieval.
Issue materials to departments based on approved requests and accurately document all transactions.
Conduct routine physical stock counts and reconcile with system balances.
Monitor stock levels and notify supervisors when reorder levels are reached.
Maintain cleanliness, order, and safety in the stores environment.
Identify and report damaged, expired, or obsolete stock.
Assist during internal and external audits by providing records and supporting documentation.
Ensure compliance with company policies, procedures, and best practices in stores management.
Perform any other duties as assigned by the supervisor.
Key Performance Indicators (KPIs)
Inventory record accuracy
Timely and efficient stock issuance
Frequency and accuracy of stock reconciliations
Rate of stock damage, loss, or discrepancies
Store organization and cleanliness
Timeliness of reporting and documentation
Compliance with inventory control procedures
Qualifications, Education and Competencies
Minimum Qualifications
Bachelor’s degree in Stores Management, Procurement & Logistics, Business Administration, or a related field, with a major in stores or supply chain management.
Experience
At least three (3) years of hands-on experience in inventory or stores management in a reputable organization.
Key Competencies
Solid understanding of stores and inventory control systems
Strong organizational and record-keeping skills
Proficiency in inventory management software and Microsoft Office
Excellent communication and interpersonal skills
Customer service orientation
Attention to detail and accuracy
Ability to work independently and as part of a team
