Contract Duration: 18 Months

Project Overview
The East African Crude Oil Pipeline (EACOP) is a significant regional infrastructure initiative connecting Uganda’s oil fields to the Tanzanian coast. Schneider Electric, as the Electrical, Instrumentation, and Telecommunications Systems (EITS) integrator, is responsible for delivering, installing, and commissioning critical systems. Efficient site management and administration are essential to the success of this complex project.
Schneider Electric’s Role
Schneider Electric oversees multi-disciplinary teams, subcontractors, and vendors in managing complex site operations. The Site Administrator supports these operations by ensuring smooth coordination of daily site activities, documentation, logistics, and communications in compliance with company policies and project requirements.
Position Summary
The Site Administrator provides comprehensive administrative support to the site management team. This role encompasses document management, logistics coordination, resource tracking, timekeeping, reporting, and liaison with internal and external stakeholders. The Site Administrator ensures seamless daily operations and assists leadership in managing workforce and logistical tasks.

How to Apply
Manage and maintain all site documentation including work permits, time sheets, attendance records, and site access logs.
Coordinate site logistics, such as accommodation, transportation, PPE issuance, and facility management.
Facilitate onboarding processes for new personnel, subcontractors, and vendors.
Prepare and update site reports, including daily manpower summaries, progress logs, and issue trackers.
Liaise with local authorities and project stakeholders to handle regulatory paperwork and compliance documentation.
Support procurement activities by assisting with material receipt confirmations and delivery tracking.
Provide administrative assistance during meetings, toolbox talks, and project briefings, including minute-taking and tracking action items.
Manage office supplies, stationery, and administrative equipment to support site operations.
Ensure all administrative activities comply with Schneider Electric’s site management policies and procedures.
Serve as the primary point of contact for internal site communications and coordinate with the central project office as needed.
Education:
Diploma or Bachelor’s degree in Business Administration, Project Management, or related field.
Experience:
3 to 5 years in site or project administration within construction, oil & gas, or infrastructure sectors.
Experience working with multinational teams and structured project environments.
Technical Skills:
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiar with document control systems and basic project management tools.
Understanding of site administration processes, workforce timekeeping, and logistics coordination.
Basic knowledge of procurement and material handling on project sites.
Personal Attributes
Highly organized with strong attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple tasks in a fast-paced, field-based environment.
Proactive, flexible, and dependable in supporting site operations.
Discreet and trustworthy when handling sensitive information.
Preferred Qualifications
Prior experience supporting Schneider Electric projects or similar EPC contractors.
Familiarity with local labor laws, HSE documentation, and site access regulations.
Fluency in English required; knowledge of Swahili is an asset.
Work Conditions
Full-time, on-site role based in a remote or industrial setting within the project area.
Strict adherence to PPE and HSE requirements.
Occasional travel between site locations or to local authorities may be required.
