Job Summary: Beta Track is seeking a diligent and organized Secretary / Administrative Assistant to join our dynamic team. This role is essential for ensuring the smooth and efficient operation of our office. The ideal candidate will be responsible for handling a variety of administrative and clerical tasks, acting as a central point of communication and support for our staff. We are looking for a reliable individual who is a master of multitasking, possesses excellent communication skills, and has a keen eye for detail to help us maintain our high standards of organization and professionalism.
Duties, Roles and Responsibilities
Manage Office Communication: Handle phone calls, emails, inquiries, and correspondence; relay messages promptly and professionally.
Front Desk & Reception Duties: Welcome visitors, manage the reception area, and guide clients or guests to the appropriate offices.
Document Management: Prepare, type, format, and file documents, letters, minutes, and reports. Maintain both physical and digital filing systems.
Scheduling & Coordination: Organize meetings, appointments, and calendars for management. Ensure timely reminders and meeting preparedness.
Record Keeping: Maintain updated records, registers, and office logs to support smooth operations.
Office Supplies & Inventory: Track office supplies, make requisitions, and ensure proper use and availability of office materials.
Meeting Support: Arrange meeting logistics, prepare agendas, take minutes, and follow up on action points.
Administrative Support: Assist staff and management with various administrative tasks, including photocopying, scanning, data entry, and report compilation.
Visitor & Client Support: Provide information, address client concerns, and ensure professional customer service.
Travel & Logistics Coordination: Organize travel bookings, transport arrangements, and accommodation for staff when required.
Confidential Information Handling: Manage sensitive documents and information with discretion and professionalism.
Support to Management: Provide direct administrative support to executives, ensuring timely execution of tasks and communication.
Qualifications, Education and Competencies
General computer literacy.
Excellent verbal and written communication skills.
Strong organizational skills are needed to manage files, schedules, and supplies effectively.
