Job Description

The Records Assistant Grade II will be responsible for the proper handling and documentation of incoming and outgoing correspondence, distributing and receiving files from various departments, ensuring proper filing systems are followed, and monitoring the movement of records within the institution. This position is critical for maintaining accurate record-keeping, ensuring operational efficiency, and upholding the administrative integrity of the Council.

Duties, Roles and Responsibilities

  • List and register incoming correspondence in the official registry

  • Register all outgoing correspondence

  • Distribute files to relevant action officers

  • Receive files from action officers for further action or filing

  • Organize and return files to designated racks or filing cabinets

  • Monitor and track file movement within the institution (file tracking system)

  • Maintain order and security of file storage locations

Qualifications, Education and Competencies

Education:

  • Bachelor's Degree in Records Management, Library Science, or any related field

Experience:

  • Minimum of 12 months of relevant administrative or records management experience

Competencies:

  • Strong organizational and attention-to-detail skills

  • Good understanding of file handling and registry operations

  • Ability to work independently and in a team

  • Proficiency in basic computer applications

  • Integrity and ability to maintain confidentiality
