Job Title: Records Administrator – Child Welfare Department

Position Summary:
We are looking for a dedicated Records Administrator to support the Child Welfare Department by ensuring the effective management of children’s records—from creation to final disposition. The ideal candidate will maintain accurate and accessible records in both digital and physical formats, in compliance with internal policies and regulatory standards.
Duties, Roles and Responsibilities
Including but not limited to:
Compile village audits and submit findings to the Coordinator and WISE (Watoto Information System Exchange) Administrator.
Create, organize, and maintain comprehensive children’s files.
Collaborate with Records Officers and Social Workers to secure essential documentation.
Provide child-related information upon request to coordinators and partner teams.
Ensure completeness and consistency of records in both physical and electronic formats.
Troubleshoot and resolve data management issues using available software tools.
Manage access to sensitive information for authorized team members.
Update and maintain children’s photographs and personal information on WISE.
Scan, upload, and digitally archive all child-related documents in the WISE system.
Update children’s status and profiles as directed by Social Workers or the Coordinator.
Monitor compliance with document and record management protocols.
Assist team members in utilizing the Child Welfare Records Database.
Conduct routine quality checks to ensure bio-information matches physical records.
Respond to information requests from internal and external stakeholders.
Provide departments with accurate child-related legal and identification documents.
Offer records management guidance to other departments.
Support stakeholder engagement around records-keeping procedures.
Ensure proper filing systems, including file tracking, preservation, and accountability.
Assist Social Workers in updating the OVCMIS in alignment with government requirements.
Qualifications, Education and Competencies
Bachelor’s degree in Library and Information Science, Records & Archives Management, or a related discipline from a recognized university.
Minimum of 4 years’ experience in data management, records tracking, and performance monitoring.
Proven experience working in multi-functional teams and cross-departmental collaboration.
Strong analytical skills and experience in evidence-based decision-making.
Prior experience supporting vulnerable children, families, and communities is highly desirable.
Familiarity with Uganda’s childcare regulations and policies.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint).
