Job Description
The Project Accountant will be responsible for the financial management and accountability of the Alcohol Harm Prevention Project. The role ensures proper budgeting, financial reporting, compliance with donor and organizational requirements, and effective financial controls to support efficient project implementation.
Duties, Roles and Responsibilities
Financial management and accounting
- Maintain accurate and up-to-date project financial records in accordance with organizational and donor guidelines.
- Prepare payment vouchers, journal entries, and ensure proper coding of transactions.
- Manage project bank accounts and ensure timely bank reconciliations.
- Monitor cash flow requirements and ensure adequate funds availability.
- Ensure proper filing and safe custody of all financial documents.
Budgeting and budget control
- Support the development of project budgets and work plans.
- Monitor project expenditures against approved budgets.
- Provide monthly budget variance analysis and advise the Project Coordinator on financial status.
- Ensure that expenditures are allowable, allocable, and reasonable as per donor regulations.
Financial reporting
- Prepare timely monthly, quarterly, and annual financial reports.
- Support preparation of donor financial reports in required formats.
- Ensure financial reports are aligned with narrative reports and work plans.
- Provide financial data and analysis to support decision-making.
Compliance and internal controls
- Ensure compliance with organizational finance policies and donor regulations.
- Support internal and external audits by preparing required documentation.
- Ensure proper procurement procedures are followed in line with policies.
- Monitor adherence to financial controls and risk mitigation measures.
- Grants and partner financial oversight (if applicable)
- Review partner financial reports for accuracy and compliance.
- Conduct financial monitoring visits to implementing partners.
- Provide financial capacity building support to project partners where necessary.
Payroll and statutory obligations
- Process project staff payroll and ensure timely statutory deductions and remittances (e.g. PAYE, NSSF, etc.).
- Maintain payroll records and ensure confidentiality.
Asset and inventory management
- Maintain a project asset register.
- Ensure proper tagging and periodic verification of project assets.
