Job Description
Job Title: Executive Office Administrator
Reports to: Executive Director
Department: Executive Office
Duties, Roles and Responsibilities
Maintain a well-organized Executive Office, including meeting arrangements, document filing, and ensuring the availability of office supplies and refreshments.
Manage the Executive Team’s calendars, schedule meetings, and screen incoming visitors.
Coordinate travel logistics for the Executive Office and maintain up-to-date travel itineraries.
Prepare the Executives for engagements and manage both paper and electronic correspondence.
Draft, distribute, and maintain minutes of meetings.
Prepare correspondence and reports as assigned by the Executive Director.
Serve as a liaison between the Executives and both internal staff and external stakeholders.
Manage incoming and outgoing correspondence addressed to the Executive Office.
Qualifications, Education and Competencies
Education Requirements
Bachelor’s degree in Secretarial Studies, Office Management, or Administration.
Experience Requirements
Minimum of 3 to 5 years’ experience in executive office administration, preferably in a financial institution.
Skills and Competencies
Excellent interpersonal and communication skills
High levels of integrity and confidentiality
Strong organizational and negotiation skills
Proactive, decisive, and detail-oriented
Punctual and highly observant
