About the Organisation

The organisation is developing a recruitment database for community workers of candidates across the country for an International NGO for child development in their operational regions which are; Central, Northern, Western, Eastern Uganda, as well as the Karamoja sub-region.

Strategic Engagement:
Job Description
As an Office Assistant, you will support the administration and operations team by performing tasks such as document preparation, filing, managing supplies, assisting with logistics, and providing front desk services. You will help coordinate office logistics including meetings, deliveries, and travel support, contributing to a professional and welcoming office environment.
This role is essential in enabling the smooth flow of information and resources within the team and between departments, particularly during emergency response activities.
You will work closely with administrative officers, logistics staff, and visitors to ensure that support functions are timely, accurate, and handled with professionalism. Flexibility and the ability to manage multiple priorities in a fast-paced humanitarian setting are key to success in this role.
Duties, Roles and Responsibilities
Administrative Support:
Photocopy, scan, file, and print documents as required
Prepare and format letters, memos, and reports
Maintain organized filing systems (digital and physical)
Office Coordination:
Maintain cleanliness and readiness of the office space
Monitor and manage stock levels of office supplies and consumables
Support the preparation and service of refreshments for meetings and events
Logistics and Support:
Assist in booking transport and accommodation for staff
Receive, organize, and distribute deliveries and supplies
Run errands including delivery and collection of documents and materials
Reception and Communication:
Welcome and direct visitors professionally
Answer calls, take messages, and redirect inquiries
Support internal communication within the team
Qualifications, Education and Competencies
Minimum Qualifications:
Completion of secondary education; a diploma in Office Administration or related field is an advantage
At least 1 year of experience in an administrative or office support role, preferably within an NGO or emergency context
Basic computer skills, including Microsoft Word, Excel, and Outlook
Good written and verbal communication skills
High level of trustworthiness and confidentiality
Fluency in the local language; basic English proficiency is an asset
