Job Title:  Logistics and Supply Chain Coordinator

Organisation: ALIGHT

Salary Scale:  UGX 8,000,000 – 11,000,000 (Gross P/Month)


The position holder is the  captain to our Logistics & Supply Chain teams, and member of Uganda leadership team and Senior Management Team. Under the supervision of the Executive  Director, the Logistics & Supply Chain Coordinator is responsible for overseeing procurement, logistics, fleet, operations  and transportation for Uganda Country Program. This also includes management of supplier and vendor contracts, procurement and contractors’ database, tendering process, contracting, tracking payments, assets management, communication equipment, fleet management and travel coordination and management of ALIGHT premises.

You will support the Field Logistics and Supply Chain Officers and Country Office teams in their commitment to improving quality and accountability in humanitarian initiatives and related activities. Through listening empathetically and responding, you will ensure that all program activities requiring the support of supply chain units are implemented in a timely manner.

Day to day Responsibilities:

Strategic Management:

  • Provide strategic leadership for country logistics & supply team, including evaluating current operating systems and developing strategic recommendations to strengthen operations in support of program implementation.

  • Actively engage in strategic discussions and planning related to the country program and embrace leadership role as a member of the SMT, collaborating with peers to ensure successful and collaborative country program management overall and beyond operations.

  • Participating in the Annual Strategic Planning process, with a special focus on operations in support of program delivery.

  • Contribute to the development of grant development and budget recommendations related to operational costs, staffing, and activities during the program development process.

  • Coordination with Global Logistics & Supply Chain Unit for implementation of agile supply chain solutions.


Supply Chain Management:

  • Supervise Supply Chain staff to ensure proper warehousing, communication, procurement, assets and stock management, and transportation to support program implementation.

  • Provide technical leadership, training, and support to Supply Chain Managers/Senior Officers for the transparent and auditable management of all procurements for the Country Offices, in line with the policies and procedures of Alight and donor regulations.

  • Oversee the implementation of supply chain strategies, e.g. sourcing strategy, supplier selection, evaluation, and performance measurement of suppliers.

  • Ensure the use of appropriate tools to facilitate procurement, and price lists of procured items.

  • Ensure the timely completion of all purchases/procurements and regular submission of procurement committee minutes.

  • Review Supply Chain Key Performance Indicators (KPIs), and the trackers. Maintain KPIs within in green zone.

  • Reporting of monthly Logistics & KPI reports to Global Logistics & Supply Chain Unit.

  • Review requests of large purchases to verify vendor, allowable expense, ensure accurate budget coding, availability of required supporting documents. Endorse for ED or HQ authorization, in accordance with policy on approval levels.


Administrative/Operations Management:

  • Provide leadership for management of administrative & operational activities

  • Effectively manage Alight assets, facilities, and administrative and logistical services.

  • Timely and appropriate establishment of all logistics infrastructure (warehousing, transport, distribution) and associated operating, management, and monitoring systems.

  • Full compliance of operations with Alight and donor rules, regulations and policies.

  • Coordinate staffing of, and management for the processing and updating of service contracts, including vendor contracts for legal counsel, security support, equipment maintenance, etc.

  • Lead the negotiation and preparation of leases (office premises, guesthouses, warehouses), for all ALIGHT rented premises.

  • Ensure proper installation and full functioning of all IT equipment and licensed software.

  • Ensure optimum connectivity with minimum disruptions and rapid recovery of systems and networks.


Team Building and Talent Management:

  • Supervise, mentor, and motivate logistics & supply chain teams, ensuring clarity of roles and responsibilities, and accountability for operational support for program implementation.

  • Provide/facilitate opportunities for staff capacity building and leadership development.

  • Directly engage in transferring knowledge on operations systems, policies, and processes.

  • Ensure performance plans of logistics/procurement, IT, Administration, and Security teams are developed in timely manner, monitored regularly, and measured annually through Alight’s performance management process.

  • Lead fair and transparent annual performance appraisal process.


Other/ Additional  Responsibilities

  • Hires and trains field sector leads supervisors including field based Operations and Logistics Officers .

  • Closely monitors fleet and transport function of the country program

  • Oversees the daily workflow and schedules of the department.

  • Conducts performance evaluations that are timely and constructive.

  • Handles discipline and termination of employees in accordance with Alight policy

  • Perform any other duties assigned to you by supervisor.

Qualifications, Education and Competencies

  • A Bachelor’s degree in Operations, Procurement and Logistics Management or Business Administration , combined with Management expertise. Master’s degree in a related field is highly

  • A proven leader with over 10 years of experience in a senior Operations, Procurement and Logistics Management positions, including at least 7 years managing professional teams.

  • Extensive experience in donor compliance, organizational risk management, contracting and procurement, project execution, and security management.

  • Experience with project-based organizational models involving multiple funding sources is a plus.

  • Excellent communication skills, including proficiency in written English.

  • A strong, insightful, and influential leader capable of driving processes in a decentralized, matrix environment.

  • Ability to operate at various levels and convert strategy into action. Strong interpersonal skills and a hands-on approach when necessary.

  • Energetic, highly motivated, with a curiosity-driven mindset and a passion for excellence and innovation to foster business growth and success.

  • High integrity, transparency, and a strong commitment to good governance.

  • Willingness to travel to all Alight field
