Cure Children’s Hospital of Uganda is seeking a Human Resource Assistant to provide daily administrative and clerical support to the HR Department. The role involves maintaining employee records, supporting recruitment processes (including interview scheduling and resume screening), managing HR documentation, and facilitating employee onboarding.
Duties, Roles and Responsibilities
1. Recruitment and Onboarding
Collaborate with the Human Resources Officer (HRO) to develop interview matrices for candidate screening.
Schedule interview meetings as requested by the HRO.
Invite shortlisted candidates for interviews.
Provide feedback to interviewed candidates as directed by the HRO.
2. Time and Attendance Monitoring
Prepare time and attendance records to support payroll processing.
Provide monthly punctuality and attendance updates to co-workers.
3. Employee Development
Support the performance management process through documentation, tracking, and follow-up on performance reviews and related actions.
Maintain accurate employee records, including employment details, status changes, and other relevant data in the HR system.
Represent the Human Resources Department in meetings as required.
4. Front Desk Management
Receive and make incoming/outgoing calls.
Welcome and guide visitors appropriately.
Perform general clerical functions as needed.
Ensure the reception area has an updated phone directory for all co-workers and coordinate with IT to update records for incoming and exiting staff.
5. Internship Program Coordination
Receive and log all internship applications.
Issue internship request forms to selected interns.
Provide feedback to applicants.
Participate in intern orientation sessions.
6. Continuing Professional Development
Identify and pursue professional development activities relevant to the role.
Maintain records of completed development activities.
Engage with supervisors for mentorship and coaching to support ongoing professional growth.
7. Occupational Health and Safety / Risk Management
Update the risk register and monitor implementation of action items.
Ensure ongoing training is conducted for risk management and health & safety measures.
Liaise with the IPC nurse to ensure all newly onboarded staff who have not received the Hepatitis B vaccine are identified and supported through the vaccination process.
8. Spiritual Ministry Participation
Participate in the hospital’s spiritual ministry programs.
Attend chapel services and departmental Bible studies with staff.
Qualifications, Education and Competencies
EDUCATION / EXPERIENCE REQUIREMENTS
First degree in Human Resource Management or a related field.
Minimum of one (1) year experience in a Human Resource office and front desk operations.
Proficiency in MS Office, HRIS, email, and internet applications.
Exposure to Human Resource Information Systems.
Experience and/or knowledge of operations within a Private Not-for-Profit (PNFP) environment, preferably a hospital.
