Job Description
This role involves a wide range of front desk and reservation responsibilities, including greeting guests with professionalism, handling check-ins and check-outs, managing payments and guest profiles in the Property Management System (PMS), and processing forex exchanges and reservations. The role also entails ensuring compliance with credit and billing procedures, maintaining front office equipment, handling internal and external calls, and promoting the hotel’s services. The Host must ensure clean and organized workspaces, provide wake-up calls, handle guest complaints, and coordinate effectively with other departments to deliver exceptional guest service. Additionally, the host must be proactive, safety-conscious, and capable of multitasking in a high-paced environment.
Duties, Roles and Responsibilities
Warmly welcome and check in guests according to hotel SOPs
Collect and process guest payments, including pre-authorizations as per credit policy
Ensure proper guest registration and documentation, scan registration cards for digital filing
Post charges and revenue accurately in PMS, including day-use rooms
Balance and secure operational float throughout the shift
Print contingency reports at the beginning of the shift
Perform foreign exchange transactions per SOP
Check out guests, transfer charges to city ledger, and attach all required documentation
Handle internal/external calls and direct appropriately using PBX system
Coordinate room allocation and follow up with housekeeping for readiness
Sell rooms at the best available rates and upsell services
Escort guests to rooms and ensure prompt message/parcel delivery
Maintain clean and organized front desk environment
Ensure functionality of operational equipment and PDQ machines
Seek approvals for rebates, refunds, and payouts per policy
Balance shift payments and deposit cash accurately
Promote hotel outlets, conference, and business center services
Be knowledgeable about reservations, occupancy, and rate structures
Maintain front desk presence and restrict access to staff only
Respond to emergency calls and follow safety procedures
Complete shift checklist and report major issues
Log wake-up call requests and perform wake-up services
Attend front office briefings and communicate key information
Report guest feedback and suspicious activity to management
Handle other duties as assigned by management
Qualifications, Education and Competencies
Previous front desk/reservations experience in hospitality preferred
Knowledge of Property Management Systems (Opera preferred)
Excellent interpersonal and communication skills
Attention to detail and ability to multitask under pressure
Professional appearance and demeanor
Strong organizational and time-management skills
Customer service orientation with a proactive attitude
Ability to work in shifts, including weekends and holidays
Knowledge of safety procedures and emergency protocols
