Job Opportunity: Director of Administration and Business Operations

Reports To: Chief Financial Officer (CFO)
The Role
We are seeking a strategic and process-driven Director of Administration and Business Operations to lead and enhance our internal operations. This is a high-impact leadership role responsible for corporate governance, internal administration, procurement, inventory management, and compliance. You'll oversee a multidisciplinary team and work cross-functionally with senior leadership to drive accountability, efficiency, and scalability across Zembo's operations.
Duties, Roles and Responsibilities
Leadership, Strategy & Systems
Design and scale internal administrative systems to support fast-growing operations
Digitize workflows and tools for documentation, supply requests, and inventory tracking
Drive performance standards for responsiveness and service quality
Lead continuous process improvement to streamline admin functions
Procurement & Inventory Management
Oversee procurement and inventory management teams to ensure cost control and compliance
Establish and enforce procurement policies, approval chains, and vendor governance
Implement real-time inventory systems to support accurate stock visibility and restocking
Negotiate and manage supplier contracts and service-level agreements
Corporate Governance, Compliance & Risk
Serve as Zembo’s point person for all compliance, regulatory, and legal matters
Develop and monitor internal controls, audit logs, and governance dashboards
Ensure compliance with KYC/AML, ESG, and licensing requirements
Lead risk assessments and ensure organizational audit readiness
Act as Company Secretary, handling statutory registers, board minutes, and legal filings
Contracting
Implement streamlined contracting systems and digital tools for faster, risk-managed approvals
Oversee contract lifecycle management, including templates, renewals, and archives

Qualifications, Education and Competencies
Minimum Qualifications
Bachelor’s degree in Business Administration, Finance, Law, Supply Chain, or related field
At least 8 years of leadership experience in administration, compliance, governance, or procurement
Strong knowledge of East African legal/regulatory frameworks
Proven success leading cross-functional teams in fast-paced operational settings
Experience developing SOPs, risk mitigation plans, and internal controls
Strong communication, negotiation, and stakeholder engagement skills
Preferred Qualifications
Master’s degree (MBA, MPA, or LLM) or professional certifications in governance, procurement, or compliance
Experience as Company Secretary or leading board governance functions
Familiarity with ESG frameworks and donor/lender covenant compliance
