Job Description
The Logistics Officer will coordinate and manage the movement of goods, supplies, and equipment in support of RTV programs. This role ensures efficient procurement, storage, distribution, and fleet management while maintaining compliance with organizational policies, safety standards, and donor requirements.
Duties, Roles and Responsibilities
1. Fleet Coordination and Oversight
- Coordinate daily fleet operations across districts.
- Monitor allocation, movement, and utilization of all vehicles and motorcycles.
- Ensure compliance with RTV fleet policies and road safety standards.
- Maintain accurate fleet registers and asset tracking records.
2. Fuel Management and Reconciliation
- Oversee fuel card usage and monitor weekly and monthly consumption.
- Reconcile district fuel usage against supplier statements.
- Prepare and submit monthly fuel reconciliation reports.
- Identify and report discrepancies or anomalies to management.
- Coordinate timely fuel statements and top-ups with suppliers.
3. Repairs and Maintenance Planning
- Schedule routine, preventive, and corrective maintenance for fleet assets.
- Coordinate with approved service providers and track progress of repairs.
- Ensure quality repairs using genuine parts.
- Maintain maintenance schedules and follow up on overdue services.
- Monitor turnaround times and escalate delays when necessary.
4. Maintenance and Parts Usage Tracking
- Track spare parts usage across districts.
- Compile monthly reports on fast-moving, slow-moving, and high-cost parts.
- Ensure accountability for all parts issued, used, and remaining in stock.
- Identify recurring mechanical issues and recommend long-term solutions.
5. Reporting and Documentation
- Prepare weekly and monthly fleet operations reports.
- Submit consolidated reports on fuel consumption, maintenance costs, and fleet performance.
- Maintain updated documentation, including service contracts, warranties, and repair records.
- Support internal and external audits with accurate fleet and fuel data.
6. Inventory and Asset Control
- Monitor stock levels of spare parts and consumables.
- Prepare inventory usage reports and ensure proper storage and issuance.
- Conduct periodic physical stock verification of parts and tools.
- Prevent loss, misuse, or over-consumption of inventory.
7. Coordination and Communication
- Liaise with mechanics, service providers, and fuel stations.
- Coordinate vehicle and motorcycle movement plans to ensure field team availability.
- Communicate fleet risks, downtime, or urgent repair needs to management.
- Facilitate smooth information flow between operations, finance, and district teams.
8. Compliance and Continuous Improvement
- Ensure adherence to RTV fleet management and logistics policies.
- Recommend improvements to fuel controls, maintenance systems, and reporting processes.
- Support the rollout of new fleet tracking tools or management systems.
- Ensure compliance with safety standards, including the proper use of required safety gear by all vehicle and motorcycle operators.
