Warehouse Supervisor Job at FMCG Sector

Job Description
The Warehouse Supervisor is responsible for coordinating and supervising day‑to‑day warehouse operations to ensure efficient, accurate, and safe receipt, storage, picking, dispatch, and reconciliation of stock within a fast‑moving consumer goods (FMCG) distribution environment. The role ensures strict adherence to inventory control standards, warehouse best practices, and company procedures, while providing support in documentation, stock management, fleet oversight, and reporting activities assigned within the contract.
This position is critical for maintaining stock accuracy, operational discipline, and smooth warehouse workflows in a high‑volume FMCG setting.
Duties, Roles and Responsibilities
A. Stock Handling & Warehouse Operations
- Oversee all incoming and outgoing stock movements to ensure accuracy, completeness, and proper documentation.
- Implement and enforce FIFO/FEFO stock rotation principles to ensure product freshness and reduce expiry risks.
- Supervise receiving, offloading, put-away, bin allocation, picking, packing, and dispatch processes.
- Ensure all stock entries are correctly recorded in the warehouse system and aligned with physical movements.
- Lead weekly and monthly stock reconciliations in coordination with the Warehouse Manager and Finance team.
- Maintain proper storage conditions for different product categories, including temperature‑sensitive FMCG items.
B. Stock Reconciliation & Documentation
- Compile stock reports, movement logs, variance reports, and inventory accuracy summaries.
- Maintain up-to-date warehouse records, including bin cards, stock cards, and digital records.
- Investigate and resolve discrepancies between physical and system stock promptly.
- Perform periodic cycle counts and annual stock takes.
C. Warehouse Safety, Compliance & Standards
- Enforce 5S warehouse standards (Sort, Set in order, Shine, Standardize, Sustain).
- Ensure adherence to safety protocols, PPE usage, and hazard‑free warehouse environments.
- Train staff on safe equipment usage and compliance with company and regulatory guidelines.
- Report safety incidents, near misses, and equipment faults.
D. Team Leadership & Supervision
- Supervise warehouse staff including loaders, helpers, and drivers where applicable.
- Facilitate daily briefings to communicate targets, assignments, and safety reminders.
- Support recruitment, coaching, performance monitoring, and discipline of warehouse personnel.
- Coordinate workloads to ensure timely order processing and dispatch.
E. Order Processing & Customer Service Support
- Ensure prompt picking and dispatch of orders according to set turnaround times.
- Verify accuracy of picked items against customer orders to minimize errors and returns.
- Liaise with Sales, Procurement, and Distribution teams to resolve order or stock‑related queries.
- Ensure daily reconciliation of sales transactions and support collection of sales revenues where required.
F. Systems, Reporting & Administrative Tasks
- Record transactions in EFRIS and company systems as required.
- Prepare daily, weekly, and monthly warehouse operational reports.
- Support validation of records required for VAT returns and internal audit processes.
- Maintain updated documentation, filing systems, and digital archives.
G. Fleet Coordination & Logistics Support
- Supervise drivers and support scheduling of delivery routes.
- Monitor vehicle usage, mileage logs, fuel utilization, and general fleet discipline.
- Ensure compliance with company transport policies and safe driving standards.
H. General Support Duties
- Provide administrative support to warehouse management and other departments when needed.
- Assist with HR‑related tasks such as attendance records and documentation collation.
- Carry out any additional responsibilities assigned by the Warehouse Manager or management team.
- KEY PERFORMANCE INDICATORS
- Inventory accuracy (target ≥ 99%).
- Order picking accuracy (target ≥ 98%).
- Stock variance reduction and timely reconciliation.
- On‑time order dispatch (OTD).
- Shrinkage and damage control.
- Warehouse safety compliance score.
- KPI performance of supervised staff.
- Quality and timeliness of reports.
