Job Description
This position requires a highly organized and proactive individual to handle administrative tasks, facilitate team events, manage schedules, track departmental budgets, and support HR processes such as onboarding and vendor management. The Team Assistant acts as the point of contact for internal and external communication, supports event organization, and helps maintain compliance with HR documentation standards. The ideal candidate will also play a key role in enhancing internal processes and championing team culture.

How to Apply
Administrative Support
Manage calendars and schedules for senior HR leaders
Prepare agendas, minutes, and follow-ups from meetings
Draft correspondence, reports, and presentations
Operational Coordination
Facilitate onboarding logistics and welcome processes
Maintain up-to-date electronic and physical HR files
Arrange travel and accommodation
Identify areas for improving team processes
Communication & Liaison

Liaise with departments such as IT, Finance, and Facilities
Organize HR team events, workshops, and offsite meetings
Financial Support
Manage travel expense reporting for HR Directors
Track and monitor departmental budgets
Maintain adequate office supplies
Information & Vendor Management
Maintain confidential HR documents and records
Raise purchase orders and follow up on supplier payments
Education
Degree in Human Resources or a related field
Experience
Minimum 5 years in a similar administrative or HR support role
Skills and Competencies
Excellent organizational and multitasking abilities
Strong interpersonal and stakeholder management skills
Ability to manage confidential information professionally
Proficiency in office software and tools
Demonstrated ability to influence and build relationships across diverse teams
