Job Description
The Coordinator will be responsible for overseeing finance operations, including expense reporting, vendor payments, financial forecasting, and audits. On the administration side, they will organize events and logistics, manage procurement processes, support participants and staff, and ensure compliance with IREX and government policies. The role requires strong financial expertise, organizational skills, and the ability to work in a fast-paced environment while supporting globally based teams.
Duties, Roles and Responsibilities
Organize event logistics (venues, accommodation, flights, and transportation).
Manage procurement processes in compliance with IREX policies.
Support participant per diem payments, stipends, and documentation collection.
Assist with vetting vendors and program participants.
Support communication with training participants before, during, and after events.
Ensure compliance with IREX and government policies/regulations.
Manage vendor relationships and maintain vendor records.
Prepare and reconcile staff expense reports and advance payments.
Assist in preparing project financial forecasts, budgets, and analysis.
Review vendor invoices and ensure timely payments.
Support financial audits, reporting, and compliance processes.
Contribute to monitoring and evaluation tasks when needed.
Provide administrative and operational support to project teams.
Qualifications, Education and Competencies
Bachelor’s degree in Accounting, Finance, Business Administration, or related field.
CPA (Certified Public Accountant – Kenya).
Minimum of 4 years’ relevant experience in finance and administration.
Experience with accounting software (QuickBooks, Concur preferred).
Strong proficiency in Microsoft Office (Excel, Word, Outlook, PowerPoint).
Prior experience with NGOs and working in globally based teams preferred.
Knowledge of Kenya/East Africa’s operating environment and civil society is desirable.
Experience with Mastercard Foundation-funded projects is an added advantage.
Excellent English communication skills, both oral and written.
Strong organizational, time management, and problem-solving skills.
High attention to detail with ability to prioritize multiple tasks.
Positive attitude, flexibility, and strong customer service orientation.
Proof of unrestricted work authorization in Kenya.
