Job Description
The Secretary & Administrative Assistant will be responsible for maintaining a professional reception environment, managing official documentation, coordinating schedules, handling internal and external communication, and supporting content creation for the company’s digital platforms. The role requires excellent organizational and multitasking skills, strong attention to detail, and proficiency in both administrative operations and social media engagement.
Duties, Roles and Responsibilities
Secretarial & Administrative Support:
Greet and welcome guests professionally
Answer and direct calls, take messages as needed
Maintain a clean, organized reception area
Manage company and confidential executive files
Maintain up-to-date professional contact databases
Coordinate meetings, manage calendars, and prepare minutes
Draft official correspondence, reports, and memos
Organize filing systems and track task follow-ups
Social Media & Digital Content:
Develop content including blog posts, social media posts, articles, and videos
Produce multimedia content: graphics, infographics, and short videos
Plan and manage a content calendar
Monitor and analyze engagement metrics
Conduct research on industry trends and content relevance
Maintain brand consistency across all digital platforms
Use tools like Canva and Adobe Creative Suite to design digital assets
Qualifications, Education and Competencies
Minimum B.Sc. in Secretarial Studies, Communications, or a related discipline
At least 2 years of experience in a similar administrative role
Previous social media content creation and management experience
High typing speed with strong accuracy
Proficient in Microsoft Office, Canva, Adobe Creative Suite, and video editing software
Excellent verbal and written communication skills
Highly organized, detail-oriented, and self-driven
Ability to maintain discretion and confidentiality
