Job Description
The position entails welcoming visitors, managing telephone calls, distributing office communications, maintaining stationery and sundry supplies, and supporting procurement of event items. Additionally, the Secretary/Receptionist-Driver is responsible for ensuring timely delivery of office documents, overseeing utility bills, and performing driving duties including transporting staff and goods in accordance with MSF rules and local traffic regulations. The role demands multitasking capabilities, flexibility, and high service orientation.
Duties, Roles and Responsibilities
Maintain a clean and organized reception area
Welcome and direct visitors and notify staff accordingly
Handle incoming and outgoing office calls
Circulate notices, emails, and hard copies to staff
Receive supplier invoices and forward to relevant departments
Monitor and update stationery stock cards and manage stationery issuance
Prepare and submit quarterly orders for stationery and sundries
Follow up on utility bills to ensure timely validation and payment
Manage staff check-out forms and ensure proper completion
Monitor and ensure proper milk delivery and invoicing
Coordinate with courier services (G4S) for document delivery and reception
Procure items for office events in a timely manner
Track and manage the office’s drinking water supply schedule
Drive MSF vehicle to transport authorized personnel and goods, ensuring safety and adherence to traffic and MSF regulations
Participate in meetings and perform any additional tasks as assigned by the Line Manager
Qualifications, Education and Competencies
Education:
Secondary school education
Secretarial training or studies
Valid Kenyan Driving License Class B, C, E
Experience:
Minimum of 2 years of secretarial and driving experience in a reputable organization
Skills & Competencies:
Essential computer literacy (MS Office)
Strong communication and organizational skills
Behavioral flexibility, teamwork, and commitment
Service-oriented attitude
Proficient in English and Swahili (both written and spoken)
