Job Description

The Facilities Contract Manager will be responsible for managing, negotiating, and monitoring all facilities management contracts including cleaning, security, maintenance, waste management, utilities, and landscaping services. The role involves ensuring adherence to legal and safety regulations, optimizing vendor performance through KPIs and SLAs, and overseeing preventive and corrective maintenance schedules. The manager will drive compliance, risk mitigation, contract performance documentation, budgeting and cost control, and lead relationships with facilities vendors. Additionally, the role requires preparing reports, maintaining contract records, championing quality improvements, and leading a high-performing facilities support team through coaching, performance management, and continuous development initiatives.

How to Apply

  • Develop, review, negotiate, and administer facilities service contracts

  • Ensure all contracts comply with legal, safety, and regulatory requirements

  • Monitor vendor performance against SLAs, KPIs, and budgets

  • Manage contract renewals, amendments, and terminations

  • Oversee delivery of facilities services including maintenance, security, cleaning, and waste management

  • Coordinate preventive and corrective maintenance programs

  • Liaise with internal teams to support operational needs

  • Conduct vendor evaluations and resolve service delivery issues promptly

  • Ensure compliance with occupational health, safety, and environmental standards

  • Maintain compliance records, audit reports, and incident logs

  • Prepare and monitor the facilities department budget for contract services

  • Identify cost-saving opportunities without compromising service quality

  • Maintain contract registers and vendor documentation

  • Prepare and submit facilities performance and cost reports to management

  • Recommend improvements in vendor and facilities service delivery

  • Lead, train, mentor, and evaluate facilities team members

  • Promote teamwork, accountability, and innovation across the department

Academic & Professional

  • Bachelor’s Degree in Built Environment, Business Administration, Finance, or related field

  • Professional certification in Contract Management, Procurement, or Facilities Management (e.g., CIPS, IFMA) an added advantage

  • Project Management Certification required

Experience

  • Minimum 5 years’ facilities or contract management experience in a corporate or real-estate environment

  • Strong knowledge of contract law, procurement processes, and vendor management

Required Skills & Competencies

  • Strong negotiation, contract drafting, and dispute resolution skills

  • Knowledge of compliance, building codes, health & safety standards, and sustainability guidelines

  • Ability to manage budgets and monitor contractor billing and invoicing

  • Proficient in ERP systems for procurement and contract tracking

  • Strong MS Excel and data-analysis skills

  • Performance management and strategic planning capability

  • Excellent communication, leadership, and stakeholder-management skills

  • Strong interpersonal skills and initiative-driven mindset
