Job Description
This position involves greeting visitors, professionally managing the switchboard, responding to or directing customer inquiries, and providing support to staff and clients. The Receptionist will also be responsible for confirming vehicle bookings, updating customer service assistants, coordinating drivers, and ensuring excellent client experiences at all times. The ideal candidate must be computer literate, customer-focused, and well-presented in accordance with the company’s dress code.
Duties, Roles and Responsibilities
Answer and manage the switchboard in a timely and professional manner
Acknowledge and assist walk-in customers promptly
Respond to queries or direct them to the appropriate department/person
Email messages to staff immediately
Take snapshots of the online system and escalate issues if unresolved within 30 minutes
Notify management of any unresolved problems
Suggest improvements to current customer service processes
Assist customers with updates from the Online Progress Tracking System (Bluespec)
Coordinate and manage branch drivers via group chat
Ensure completion of driver tasks before end of day
Adhere to uniform policy and professional appearance standards
Confirm bookings one day in advance
Follow up and schedule vehicles once authorisation is received
Qualifications, Education and Competencies
Minimum 2 years of experience in a receptionist role
Experience in the motor or insurance industry is advantageous
Matric (Grade 12)
Proficient in handling switchboards
Intermediate proficiency in Microsoft Office Suite (Word, Excel, Outlook, etc.)
Excellent communication and interpersonal skills
Strong organizational and multitasking abilities
Professional presentation and telephone etiquette
