We are looking for a proactive, organized, and service-oriented Receptionist/Administrative Assistant to join our Internal Client Services – Administration Department in Kampala. This role requires a polished communicator who can manage front office duties with professionalism, while providing administrative support to ensure efficient office operations.

How to Apply

Front Office Management

  • Maintain a clean and welcoming reception area at all times

  • Receive visitors and direct them appropriately while notifying staff of their arrival

  • Answer incoming phone calls, take messages, and route calls to relevant departments

  • Handle incoming and outgoing mail and courier services; track deliveries and maintain proper records

  • Manage meeting room bookings via Outlook; oversee access and security of rooms

Administrative Support

  • Coordinate travel logistics including local/international flights, ground transportation, and hotel bookings

  • Manage the diary of a Partner/Director, including scheduling meetings, responding to invites, and briefing them ahead of engagements

  • Support visiting Partners/Directors with office access, hotel reservations, and transport arrangements

  • Assist in organizing on-site and off-site meetings, conferences, and internal training events

Office Operations

  • Monitor stock levels and order office supplies, consumables, and kitchen items

  • Process procurement paperwork including LPOs, GRNs, and invoice tracking

  • Support with background research and information gathering for reports and presentations

  • Coordinate maintenance and service of office equipment and machines

  • Ensure delivery of drinking water and availability of supplies across office points

Records, Finance & Compliance

  • Maintain proper documentation for administrative processes

  • Prepare and submit courier recharges, transport costs, and supplier invoices to finance

  • Track and ensure timely approval and payment of supplier invoices

  • Assist in maintaining communication and documentation protocols across departments

General Support

  • Attend departmental meetings, take minutes, and follow up on action points

  • Assist with communication and knowledge management within the firm

  • Perform additional tasks as assigned in support of business operations

Required Qualifications & Experience

  • Minimum of a Diploma in a business-related field

  • At least 2 years of experience in reception, front office management, administration, or a similar role within a medium to large organization

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Strong communication and interpersonal skills

  • Must be a Ugandan citizen or have a valid Ugandan work permit
