Job Description
Under the direct guidance and supervision of the programme coordinator, the Program Assistant supports the planning, management, and implementation of the programme for timely achievement of its aims. The role is part of a Programme Management Unit established to coordinate the Breaking Down Barriers initiative in partnership with the Ministry of Health and Global Fund.
Duties, Roles and Responsibilities
Assists the Programme coordinator to ensure the provision of effective and efficient programme activities by providing ettective support to the programme coordinator focusing on achievement of the following results.
- Coordinate planning, implementation and tracking of programmes to promote human rights activities in line with approved work plans and timelines.
- Oversee and supervise technical consultants engaged under the programme, ensuring timely delivery and quality of outputs.
- Lead operationalization of the programme monitoring and evaluation framework including tracking of Human rights, gender and HIV/TB barriers.
- Ensure collection, analysis and use of data to inform programme decisions and reporting
- Coordinate, preparation of quarterly, annual and adhoc reports in line with donor requirements and policies.
- Serve as the primary operational focal point for engagement with criminal justice institutions, health sector and SOs.
- Facilitate coordination between government institutions, CSOs and technical to ensure coherent implementation.
- Support multi stakeholder consultations, trainings and validation processes.
- Support PMU compliance with donor assurance, audit and performance review requirements.
- Contribute to institutionalization of human rights based approach and gender responsiveness practices within justice sector systems
- Prepare correspondences including memos, emails, invoices, reports, presentations and other written materials from oral instructions and written communications.
- Support preparation and editing of reports, statistical charts and tables as required
- Maintenance of a proper filing system for the project, both physical and electronic.
- Maintain and update the training data base with the required training information.
- Performing data entry and maintenance of the filing system while ensuring safety of confidential materials.
- Assist in the organisation of and writing minutes of all meetings.
- Assist with event planning and coordination.
- Assist in the development of materials for meetings, presentations and workshops.
- Attend to the day to day administrative management of the office.
- Performs other tasks as required.
