Job Description
The Plant Secretary will provide administrative support to the Plant Manager and actively participate in driving VPO (Value Practice Optimisation) routines in the plant. The role covers front desk management, secretarial duties, administrative services, budget and spend management, and vehicle/driver coordination.
Duties, Roles and Responsibilities
- Maintain a safe, healthy, and risk-free working environment and comply with SHE procedures.
- Manage front desk operations including handling visitors and maintaining a register.
- Prepare minutes, memos, and letters for the PM/HOD/Manager.
- Maintain efficient record keeping and filing systems.
- Manage incoming and outgoing mail and messages.
- Coordinate travel, accommodation, and visa applications for company visitors.
- Manage office supplies, equipment, and meeting/conference arrangements.
- Prepare and contribute to the plant's departmental budget and manage spend postings in SAP.
- Manage drivers' schedules, claims, and vehicle usage logs.
- Actively participate in VPO routines for the plant.
