About the Organisation

The Secretary, District Service Commission Apac informs the general staff that, Applications are invited from suitable and eligible serving officers for the post which exist in the department as specified below:

Applications should be filled in triplicate on PSC Form 3 Revised (2008) and submitted to the Secretary, District Service Commission, P.O. Box 1 Apac to be received not later than 23rd February 2023.

Job Description

Office Typists play a crucial role in organizations by providing typing and clerical support to ensure efficient operation of the office. Here are the typical duties and requirements for Office Typists:

Duties and Responsibilities

  • Typing and Word Processing: Office Typists are responsible for typing and formatting various documents, including letters, memos, reports, spreadsheets, and presentations, using word processing software such as Microsoft Word.

  • Data Entry: They enter data into electronic databases or spreadsheets with accuracy and attention to detail. This may include entering customer information, inventory data, financial records, or other types of information relevant to the organization.

  • Transcription: Office Typists transcribe audio recordings, dictations, or handwritten notes into typed documents. This may involve listening to recordings and typing the spoken words verbatim or summarizing the content into a readable format.

  • Proofreading and Editing: They review typed documents for errors in spelling, grammar, punctuation, and formatting, ensuring that the final documents meet quality standards and are free of mistakes.

  • File Management: Office Typists organize and maintain electronic and physical files, ensuring that documents are properly labeled, stored, and accessible when needed. They may also assist with document retrieval and archiving.

  • Correspondence: They draft and type correspondence on behalf of managers or other staff members, including emails, letters, and other communications. They may also distribute incoming mail and handle outgoing mail, including preparing packages for shipment.

  • Scheduling and Calendar Management: Office Typists may assist with scheduling appointments, meetings, and events for staff members, maintaining calendars, and sending reminders as needed.

  • Telephone and Reception Duties: They may answer phones, take messages, and direct calls to the appropriate staff members. They may also greet visitors, provide information, and assist with inquiries as needed.

  • Office Support: Office Typists provide general administrative support to the office, such as photocopying documents, scanning files, filing paperwork, and performing other clerical tasks as assigned.

Qualifications and Competencies

  • Typing Skills: Office Typists must have excellent typing skills with a high level of accuracy and speed. The ability to touch type (type without looking at the keyboard) is often required.

  • Computer Proficiency: Proficiency in using word processing software such as Microsoft Word, as well as familiarity with spreadsheets, email, and other office software, is essential.

  • Attention to Detail: They should have a keen attention to detail to ensure accuracy in typing and data entry, as well as in proofreading and editing documents for errors.

  • Time Management: Office Typists should be able to manage their time effectively to prioritize tasks, meet deadlines, and handle multiple assignments simultaneously.

  • Communication Skills: Good communication skills, both written and verbal, are important for interacting with colleagues, clients, and visitors in a professional and courteous manner.

  • Confidentiality: They must maintain confidentiality and discretion when handling sensitive information, such as personnel records, financial data, and confidential correspondence.
