Jeeva Consult International is a private consultancy firm that was incorporated in Uganda in 2009. The firm is multidisciplinary/multi-sectoral in nature with superior expertise and advantage that delivers high quality outputs, in time, and within available budget. We work with a wide range of clients who include; INGOs, NGOs, Small Medium and Multi-lateral businesses, Educational Institutions, Financial Institutions, Donors, Policy Makers as well as Government Departments.
We offer professional services in areas of monitoring and evaluation, project planning and management, policy design and analysis, strategic planning and development, training and capacity building, systems analysis and design, market & social research, to mention but a few.
Over the past years, we have implemented consultancy projects for different clients in fields of; education, water sanitation and hygiene (WASH), agriculture / food security and livelihoods (FSL), health, governance and human rights, GBV, youth employment and empowerment, among others.
Jeeva therefore seeks to recruit a competent, self-driven, professional, experienced, skilled and suitably qualified person to fill the position and perform HR related roles in the department on a full-time basis.
Overview of the Position/Role:
With the growth and expansion of the company in the region, it is important to have a strong HR department with competent and professional individuals able to manage the human resources. The directors have thereby set up the Human Resources Department to oversee all human resources, people and culture planning, and management as well as ensure effective talent search and acquisition. The HRO will perform roles of implementing HR functions of the company including implementing HR plans and budgets, HR management strategies, manpower planning and auditing, recruitment planning and implementation among others.
Role Purpose
The Human Resources Officer will support the planning, development and implementation of Human Resource Policies, Strategies and Plans to ensure an efficient and effective workforce in the company.
The HRO will also lead and support Jeeva’s People & Culture objectives to contribute to the achievement of the company’s purpose and deliver on strategic outcomes. Reporting to the Senior HRO, h/she will be required to effectively build the people and culture capability of the company; manage an effective human resources function to support management of the employee lifecycle; and contribute to broader organizational and strategic management as part of the Jeeva’s senior management team. The position also has a key role as ambassador for organizational culture and values, ensuring they are visible, embedded and upheld.

In-charge of the implementation of annual human resources recruitment plans. This will be done by;
Conducting recruitment needs assessment to recruit for vacant positions, reviewing job descriptions for approval.
Screening applications received against job requirements; and preparing shortlists of potential candidates.
Working with the Recruitments Committee and hiring manager, set up the interviewing process by;
Proposing interview date/time with candidates and with interview panel members,
Ensuring that the interview panel is constituted
Ensuring that interview questions (for written and oral interviews) are developed in time
Ensuring that copies of CVs for shortlisted applicants are available
Ensure the administration of written assessment tests and oral interviews.
Ensure that references checks are conducted for successful candidates before being appointed. May conduct oral reference checks to confirm suitability of the candidates
Support with all correspondences with successful candidates regarding their offers
Preparation for approval of Appointment Letters and Employment Contracts.
Human Resources Capacity Development
Plan, develop and implement human resource capacity development plans
Support the development of formal induction process and procedures
Support the implementation of approved human resource capacity development programmes including on-job trainings ensuring compliance to human resource policy guidelines
Support with mapping of staff capacity gaps and conduct training needs assessments, in line with the individual annual staff performance targets and appraisals.
Conducting job training surveys/evaluations to assess the outcomes and impacts of these development trainings and making recommendations to management for any improvements.
Staff Payroll, Motivation and Retention
Support the planning, development and implementation of the Annual Manpower plan and budgets and ensure these are approved. Ensure the review and update of the same in a timely manner
Prepare for review and approval of the staff monthly HR budget including the payroll.
Implement and ensure compliance with staff monthly statutory deductions as per the laws of governments.
Planning, and implement staff motivation/benefits (financial and non-financial) packages and entitlements aimed at motivating staff
Planning, develop and implement a staff retention strategy and advise management for consideration and approval
People and Culture Management
Responsible for the effective operations of all normal People & Culture activities to support management of the employee lifecycle including:
Maintain employment records to meet compliance obligations
On-boarding/ off-boarding/ cross-boarding
Support and contribute to the development of a robust culture through role modelling Jeeva core values and the behaviours which drive this culture
Design and lead initiatives including research and diagnostics (e.g. annual employee engagement survey and exit interviews), to maximize the engagement of all employees and build organisational commitment to the desired culture
Work on effective internal communications in support of organisational development
Support the scope, development and lead implementation of Jeeva’s Diversity & Inclusion Strategy
Employee Risk and Compliance Management
Ensure alignment and adherence with organisational quality assurance, governance policies, processes and standards and external legal and regulatory requirements
Support with informed analysis of key people risks advising appropriate mitigation strategies in accordance with the overall risk management system
Ensure enabling, fit for purpose HR policies and procedures are developed and embedded in day-to-day practice
Ensure continued modern and compliant employment contract suite
By supporting the Group Leaders, ensure employee issues are dealt with in a prompt time frame so Jeeva is not exposed to potential legal risk, including assisting in investigations into grievances and complaints where required.
Communication
Internal
Foster and maintain trusted and professional relationships with the SMT and MD
As a member of the Senior Management Team, develop strong partnerships with all its members and provide feedback to other company committees
Support collaborative working relationship with all staff and committees fostering and maintaining effective relationships with other Managers, members of committees, all Jeeva staff, and Directors
External
Foster and maintain productive relationships with government bodies and other related stakeholders including customers, suppliers, and service providers
Liaise and develop relationships with vendors, suppliers, temporary staff teams, consultants and associates in the areas of employment law, learning and development area and organizational culture
Develop professional relationships with prospective candidates and ensuring that feedback is provided in a timely manner
HR Management
Lead the preparation of periodic HR performance reports (monthly, quarterly, bi-annual and annual).
Supervise and maintain an up to-date HR personnel records, and exercise confidentiality always.
Support with the interpretation of HR Policies for all staff.
Managing staff attendance by updating on monthly basis the Employee Timesheets
Managing staff leave by developing an Annual Leave Plan and Tracker and ensuring that staff adhere to their leave days

A University Degree in Human Resources Management, People and Culture Management, Organisational Psychology or relevant field, obtained from a recognized institution
Post graduate qualification in Human Resources, public administration or relevant field will be required
A master’s degree in any of the relevant fields will be an added advantage
Relevant Experience
A minimum of two (2) years post qualification professional working experience in Human Resource Management or Development, in a reputable institution.
Should demonstrate having worked as a HR Officer or in a similar position
Should have knowledge and demonstrable experience in HR planning and budgeting, human resource management, HR administration, and good at coordination
Member and Certification of a Human Resource Professional Body will be an added advantage
Advanced knowledge and understanding of management principles as they relate to multi-cultural and complex organizations
Familiarity and a good level of understanding for-profit organisations and company operations and systems
Demonstrate high willingness to work with a research-based consultancy company
Desirable Skills and Competences
Strong team working skills and ability to develop and maintain effective working relations at all levels both within and outside the team
An analytical mindset with problem-solving skills
Ability to work under pressure with minimum supervision and working beyond normal working time
Excellent written and oral communication in English and collaboration skills
Ability to work within tight deadlines
Strategic planning knowledge
Flexibility.

Demonstrable report writing skills
