Job Description
Job Title: Finance Officer
Organisation: IMPACT Initiatives
Duty Station: Kampala, Uganda
Duties, Roles and Responsibilities
Under the supervision of the IMPACT Regional Finance Manager, the Finance Officer’s tasks will be defined and allocated based on workflows for countries across the region. These tasks might include:
Manage Finance Transactions
Record accounts payable and accounts receivable in Excel and SAGE + SAGA
Support in updating/uploading SAGA/SAGE
Support IMPACT/REACH staff in preparation of project code/budget line
Check and update the daily payments file on a regular basis.
Draft budget proposals for IMPACT projects in collaboration with relevant staff at IMPACT and ACTED
Prepare and update the Financial Sheets (FS) for IMPACT projects
Prepare donor financial reports (Amendments\NCE)
Prepare and check BoQs and forward inputs into budget template
Assist in forecasting expenses, and support on control and analysis of the costs of IMPACT/REACH dedicated costs to improve budgeting and increase financial visibility.
Support with reallocations (check payments\allocations, etc.)
Support in updating the Allocation table on a monthly basis, for IMPACT international and IMPACT-dedicated national staff in the allocation table
Support on the mid-year and annual closure by cross-checking between ACTED and IMPACT accountancy
Under the guidance of the Regional Finance Manager, streamline, improve and implement any processes related to finances and finance management that are currently inefficient or absent.
Participate in quarterly and annual audits
At the end of the contract or annually, assist the Regional Finance Manager in preparation of files to be sent to headquarters (final checking of invoices and their presence, complete the risk file if necessary)
Assist the Regional Finance Manager in preparation of the document base on external/ internal Auditors query
Assist the Regional Finance Manag to finalize the dispatch of files by adding labels and adequate packaging
Internal Communication Processes
As requested by the Regional Finance Manager, liaise closely with Acted and IMPACT team members across East Africa to guarantee support to all IMPACT activities.
Regularly communicate with both the IMPACT and ACTED HQ finance teams as required for the review and validation of reports and budgets.
Qualifications, Education and Competencies
Good knowledge of accounting and bookkeeping procedures
Advanced MS Excel skills (creating spreadsheets and using financial functions)
Familiarity with accounting software (e.g. 1C; SAGA, QuickBooks)
Extreme attention to detail, with an ability to spot numerical errors
Highly proactive, with good self-organisation skills and the ability to work with a minimum level of supervision
Motivated by problem-solving and making processes more efficient.
