Finance and Administration Officer
Location: Luwero, Uganda

Contract Type: 12-month contract (with potential transition to full-time employment)

Job Overview
The Finance and Administration Officer will be a key member of UgaLumber’s management team, responsible for maintaining financial integrity, ensuring regulatory compliance, and supporting the administrative and operational functions of the Luwero site. The role combines finance, accounting, procurement, HR support, and general office management to ensure the smooth day-to-day running of company operations.
Duties, Roles and Responsibilities
1. Financial Management & Reporting
Manage daily accounting operations, bookkeeping, and reconciliations using company accounting systems.
Prepare timely monthly, quarterly, and annual financial reports, including cash flow statements, income statements, and balance sheets.
Maintain accurate financial records and ensure full compliance with URA, NSSF, PAYE, and other statutory requirements.
Support annual budgeting, monitor expenditure, and provide variance analysis for management review.
Manage payments, invoicing, receivables, and petty cash transactions efficiently.
2. Administration & Operations
Oversee general office operations, including logistics, procurement, and supplies management.
Maintain comprehensive staff records, including attendance, contracts, and leave tracking.
Ensure secure filing and safekeeping of all company documents, including licenses, insurance, and contracts.
Coordinate asset management and maintain an updated fixed assets register.
3. HR & Compliance Support
Support recruitment, onboarding, and performance appraisal processes.
Ensure adherence to company policies, HR procedures, and labor regulations.
Assist in monitoring staff performance and key performance indicators (KPIs).
Promote compliance with occupational health, safety, and labor laws.
4. Audit & Risk Management
Prepare and organize documentation for internal and external audits.
Strengthen internal control systems to safeguard financial and physical assets.
Identify potential financial or administrative risks and recommend mitigation strategies.
Qualifications, Education and Competencies
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Professional certification (CPA, ACCA, or equivalent) — completed or in progress.
Minimum 4–6 years of experience in finance and administration, preferably within manufacturing, agribusiness, or forestry sectors.
Proficiency in accounting software such as QuickBooks, Odoo, or Tally.
Strong understanding of Ugandan tax laws and statutory compliance.
Excellent organizational, analytical, and communication skills.
High integrity, attention to detail, and ability to work independently with minimal supervision.
Key Performance Indicators (KPIs)
Timeliness and accuracy of financial reporting.
Budget execution and cost management efficiency.
100% compliance with statutory and tax obligations.
Operational efficiency in procurement and administrative processes.
Audit results and adherence to internal controls.
Staff satisfaction with administrative support systems.
