About the Role
Reporting to the Emergency Programme Coordinator, the Finance and Administration Assistant will be responsible for ensuring accurate financial record-keeping, transaction processing, and administrative support at the field office. This includes upholding Alight’s financial integrity and compliance with both internal and donor policies.
Duties, Roles and Responsibilities
Finance (Primary Function):
Review and verify all payment requests and PRFs to ensure proper coding, donor alignment, budget availability, and completeness.
Manage petty cash (up to UGX 350,000), including preparing vouchers, making payments, and replenishment requests when balance reaches UGX 1,000,000.
Prepare and record check and cash payment vouchers, ensuring accuracy and backup documentation.
Maintain daily financial records, track receipts and payments, and reconcile records against hard copies before submission to the Kampala office.
Support field implementation of finance policies, procedures, and systems in compliance with Alight and donor guidelines.
Prepare monthly expenditure summaries and maintain secure, organized financial files at the field office.
Assist with internal and external audits, ensuring all documentation is audit-ready.
Identify and report any financial irregularities or non-compliance issues to your supervisor.
Contribute to improving financial management systems and strengthening internal controls.
Administration:
Maintain the leave register for all field staff and provide monthly reports to the HR office in Kampala.
Collect and verify all staff timesheets for completeness and accuracy before submission.
Support recruitment activities for Grade A positions and incentive workers: posting jobs, shortlisting, scheduling, and interviewing candidates.
Assist in onboarding and offboarding processes for field staff in coordination with HR.
Provide general administrative support as requested by your supervisor.
Qualifications, Education and Competencies
Education:
Bachelor’s degree in Business Administration, Accounting, Finance, or a related field.
Experience:
Minimum of 2 years in a finance or accounting role, preferably in a busy NGO or development organization.
Skills:
Proficiency in Microsoft Office Suite (especially Excel and Word).
Strong analytical and problem-solving abilities.
Exceptional attention to detail and organizational skills.
Ability to handle sensitive information with confidentiality and integrity.
Good communication and interpersonal skills.
Capable of working independently and managing multiple tasks under tight deadlines.
