Job Description
Serve as first point of contact and ambassador for Partners; build internal/external networks and client rapport. Own end-to-end diary/meeting management (attendance tracking, logistics, documentation), plan cost-effective travel/visas, and manage email/call/post workflows. Project-manage internal events (rooms, catering, attendance, budgets, documentation). Prepare/submit timesheets; process expenses/invoices and reconcile cards/statements. Maintain client/contact databases; support ad-hoc projects; load external training CPD hours; provide S2P support; maintain stationery; meet and greet visitors; and provide absence cover. Work closely with managers/other PAs to ensure seamless service.

How to Apply
Relationship management with clients, their PAs, and internal teams.
Comprehensive diary/meeting ownership; resolve attendance and logistics issues.
Proactive, policy-aligned travel planning (incl. visas, itineraries, cost control).
Communications management: emails, calls, post—escalate/delegate appropriately.
Plan/manage internal events; coordinate facilities, documentation, budgets.
Time & expense administration; invoice processing; card/bank reconciliations.
Maintain client/contact databases; Mercury S2P support; CPD hours loading.
Stationery/office admin; reception of visitors; cross-cover for colleagues.
Delegate and track tasks (meetings, travel, accommodation, ad-hoc items).
Experience in a corporate professional services environment preferred.
Confident engaging senior/high-profile stakeholders; excellent client service.
Strong organization, attention to detail, and ownership of high-quality output.
Team player with global collaboration skills; agile to different Partner styles.
Ability to plan ahead, anticipate problems, and stay calm under pressure.
Knowledge of time zones and optimal international travel options.
Proficient in Microsoft Office; strong written and verbal communication.
Trusted advisor mindset; coaching/mentoring orientation; strong presentation/influencing skills.
