Job Description
The Executive & Business Administration Assistant will act as the CEO’s strategic support, handling calendar management, travel arrangements, communications, and follow-ups. The role requires balancing executive assistance with client and sales support, ensuring no opportunities fall through the cracks. The assistant will also monitor accounts receivable, manage administrative systems, coordinate with freelancers and vendors, and support content distribution, outreach, and marketing activities. This individual must be highly organized, detail-oriented, and capable of working independently in a fast-paced environment while maintaining confidentiality and professionalism.

How to Apply
Manage and organize CEO’s calendar, meetings, and travel logistics.
Track and follow up on sales leads, proposals, and client communications.
Manage CRM tools, update lead statuses, and prepare sales reports.
Support invoicing, billing, and accounts receivable tracking.
Maintain organized systems across Google Drive, Asana, Slack, and other tools.
Prepare reports, summaries, and documents for CEO review.
Coordinate internal meetings, events, and company communications.
Assist with LinkedIn outreach, client follow-ups, and testimonials collection.
Support marketing campaigns, email outreach, and social media scheduling.
Coordinate freelancers, vendors, and client engagement activities.
Provide bookkeeping and financial support using QuickBooks/Xero.
Ensure confidentiality, accuracy, and timeliness in all deliverables.
Diploma or Bachelor’s degree in Business Administration, Management, or a related field.
2–3 years’ experience as an Executive Assistant in administration, operations, creative, or marketing industries.
Professional fluency in English with a neutral accent (equivalent to 16 years of formal education in English).
Strong organizational, detail-orientation, and multitasking skills.
Proficiency in digital tools such as Google Suite, Asana, Slack, CRMs, and QuickBooks/Xero (an advantage).
Ability to work independently, handle confidential information, and adapt to changing priorities.
Tech-savvy with eagerness to adopt AI tools for efficiency.
Excellent interpersonal, written, and verbal communication skills.
