Job Description

Duties, Roles and Responsibilities

Qualifications, Education and Competencies

Embassy of Japan in Uganda is seeking to recruit a Clerk to, among other roles, make and distribute daily briefings of news updates focused on the economy, economic co-operation and related areas. Qualified are holders of a bachelor's degree in economics (preferable), commerce, business administration, social sciences, or any other related field.

  • Answering phone calls and directing them to the appropriate person or department.

Document Management:

  • Filing and organizing documents, both physical and digital.

  • Maintaining records and databases, ensuring they are up-to-date and accurate.

  • Preparing, copying, and scanning documents as needed.


Data Entry:

  • Entering data into computer systems accurately and efficiently.

  • Updating and maintaining databases and spreadsheets.


Scheduling and Coordination:

  • Scheduling appointments and meetings.

  • Coordinating logistics for meetings, including booking rooms and arranging necessary equipment.

Financial Transactions:

  • Processing invoices, receipts, and other financial documents.

  • Assisting with basic bookkeeping tasks, such as maintaining expense reports.


Office Supplies Management:

  • Monitoring and maintaining office supplies inventory.

  • Ordering new supplies as needed.


Customer Service:

  • Providing assistance and support to customers or clients, both in person and over the phone.

  • Handling customer inquiries and resolving complaints.


Communication:

  • Drafting and sending emails, letters, and other correspondence.

  • Assisting in the preparation of reports and presentations.

Education:

  • High School Diploma: Generally required.

  • Associate Degree or Certificate: Preferred in some cases, particularly in business administration or a related field.


Experience:

  • Prior clerical or administrative experience is often preferred but not always required.

  • On-the-job training is typically provided.


Skills:

  • Computer Proficiency: Competence with office software such as Microsoft Office (Word, Excel, PowerPoint) and familiarity with office equipment like printers and copiers.

  • Typing Skills: Fast and accurate typing skills.

  • Organizational Skills: Strong ability to organize tasks, manage time effectively, and maintain orderly files and records.

  • Communication Skills: Good verbal and written communication abilities.

  • Attention to Detail: Keen eye for detail to ensure accuracy in data entry and document management.
