It has come to our notice that there is a fraudster claiming to be an agent of a big company (Kawasho Foods) based in Japan and has promised employment of a large number of Ugandans under favourable conditions where many have been scammed large advance payment as registration fee and others have been given fake visas, this has resulted into multiple inquiries to confirm the authenticity of this information.

Clerk job at Embassy of Japan in Uganda

Job Description

Embassy of Japan in Uganda is seeking to recruit a Clerk to, among other roles, make and distribute daily briefings of news updates focused on the economy, economic co-operation and related areas. Qualified are holders of a bachelor's degree in economics (preferable), commerce, business administration, social sciences, or any other related field.

Duties and Responsibilities

Administrative Support:

  • Answering phone calls and directing them to the appropriate person or department.

  • Greeting visitors and providing general information or assistance.

  • Handling incoming and outgoing mail and packages.


Document Management:

  • Filing and organizing documents, both physical and digital.

  • Maintaining records and databases, ensuring they are up-to-date and accurate.

  • Preparing, copying, and scanning documents as needed.


Data Entry:

  • Entering data into computer systems accurately and efficiently.

  • Updating and maintaining databases and spreadsheets.


Scheduling and Coordination:

  • Scheduling appointments and meetings.

  • Coordinating logistics for meetings, including booking rooms and arranging necessary equipment.

Financial Transactions:

  • Processing invoices, receipts, and other financial documents.

  • Assisting with basic bookkeeping tasks, such as maintaining expense reports.


Office Supplies Management:

  • Monitoring and maintaining office supplies inventory.

  • Ordering new supplies as needed.


Customer Service:

  • Providing assistance and support to customers or clients, both in person and over the phone.

  • Handling customer inquiries and resolving complaints.


Communication:

  • Drafting and sending emails, letters, and other correspondence.

  • Assisting in the preparation of reports and presentations.

Qualifications and Competencies

Education:

  • High School Diploma: Generally required.

  • Associate Degree or Certificate: Preferred in some cases, particularly in business administration or a related field.


Experience:

  • Prior clerical or administrative experience is often preferred but not always required.

  • On-the-job training is typically provided.


Skills:

  • Computer Proficiency: Competence with office software such as Microsoft Office (Word, Excel, PowerPoint) and familiarity with office equipment like printers and copiers.

  • Typing Skills: Fast and accurate typing skills.

  • Organizational Skills: Strong ability to organize tasks, manage time effectively, and maintain orderly files and records.

  • Communication Skills: Good verbal and written communication abilities.

  • Attention to Detail: Keen eye for detail to ensure accuracy in data entry and document management.

  • Interpersonal Skills: Ability to interact professionally with colleagues, clients, and visitors.

  • Problem-Solving Abilities: Aptitude for identifying issues and implementing solutions efficiently.
