Job Description

The Administrative Senior Assistant (Protocol and Logistics) will work under the direct supervision of the functional supervisor and overall guidance of the Administrative Associate. The incumbent will provide support to protocol and logistics operations by performing a wide range of administrative duties including coordination with program support teams, managing travel and visa processes, and ensuring compliance with relevant protocols. The role involves delivering client-oriented services and fostering quality and efficiency in administrative functions for the Kenya Country Office, Africa Regional Office, and other UNOPS entities hosted in Nairobi.

  • Coordinate and support the smooth implementation of protocol and logistics activities

  • Support the visa processing, work permits, and residence permits for personnel and dependents

  • Liaise with government ministries and diplomatic missions on protocol-related matters

  • Organize and manage official travel, ticketing, hotel bookings, and airport transfers

  • Support administrative tasks such as filing, document preparation, correspondence, and record-keeping

  • Act as a liaison between UNOPS and relevant stakeholders to ensure consistent service delivery

  • Assist in maintaining logistics databases and ensuring up-to-date travel records

  • Provide assistance during high-level events and missions, including arranging transportation and protocol services

  • Contribute to knowledge building by sharing best practices and lessons learned in protocol and logistics management

Qualifications, Education and Competencies

Education:

  • Completion of secondary school is required

  • A diploma in administration, business, public relations, or related field is an asset

Experience:

  • At least five (5) years of experience in administrative support, preferably in logistics or protocol-related roles

  • Experience working in an international organization or embassy is an added advantage

Language:

  • Fluency in English is required

  • Knowledge of another UN official language is an asset

Competencies:

  • Strong interpersonal and communication skills

  • Attention to detail and a commitment to delivering high-quality work

  • Client and results-oriented approach

  • Ability to work under pressure and meet deadlines

  • Proficient in Microsoft Office tools and other relevant software
