Job Description
Reporting to the Head of Sub-Office, the Administrative Associate will ensure the delivery of high-quality premises and facility management services. Key responsibilities include supervising service providers, managing maintenance plans, handling visitor coordination, and promoting green building initiatives. The role involves supporting operational efficiency, ensuring compliance with safety standards, and delivering timely reports on facilities performance.
Duties, Roles and Responsibilities
Supervise outsourced service providers to ensure contractual SLA compliance
Coordinate building maintenance services, including electrical, HVAC, sanitation, fire safety, and generator systems
Maintain oversight of premises to ensure cleanliness, functionality, and professional standards
Track and coordinate modifications or changes to building structures
Promote and support environmental efficiency and green building practices
Provide inputs for premises budgeting and operations
Ensure effective administrative support for utilities and payments
Generate quarterly reports with recommendations for improvement
Ensure alignment with UN standards on professionalism, client orientation, and organizational planning
Qualifications, Education and Competencies
Education:
Secondary education required
Bachelor’s degree in Management, Engineering (Electrical, Mechanical, Civil), Estate Management, Environmental Management, Project Management, or a related field (preferred)
Experience:
Minimum 6 years (with secondary education) or 3 years (with Bachelor’s degree) of experience in facility or asset management, operations logistics, or related fields
Experience with ERP systems like SAP or UN Umoja required
Background in emergency response, UN field operations, or international organizations is an advantage
Skills and Competencies:
Strong understanding of facilities and asset management
Knowledge of preventive and corrective maintenance practices
Proficiency in supervising contractors and managing logistics
Strong planning, organization, and client orientation skills
Fluency in English (oral and written)
