Job Description

Government of the Republic of Uganda has been allocated grant funds (the ""Grant"") from the World Bank which are administered by the International Development Association (IDA) (the ""Bank"") towards implementation of the Generating Growth Opportunities and Productivity for Women Enterprises (GROW) Project.



The Project Development Objective is to increase access to entrepreneurial services that enable women entrepreneurs to grow their enterprises in targeted locations, including host and refugee communities. The Ministry of Gender, Labour and Social Development (MGLSD) is the lead implementing Agency with the Private Sector Foundation Uganda as an implementing Entity.
MGSLD now invites suitably qualified and experienced individuals to fill the Position of Administrative Assistant under GROW.

Duties and Responsibilities

  • Managing Correspondence: Handling incoming and outgoing emails, letters, and phone calls. This may involve responding to inquiries, forwarding messages to appropriate parties, and drafting communications.

  • Scheduling and Coordination: Managing calendars, scheduling appointments, and coordinating meetings, conferences, and travel arrangements for executives or other team members.

  • Data Entry and Organization: Inputting, updating, and maintaining databases, spreadsheets, and other records. Organizing files, documents, and other materials to ensure easy access and retrieval.

  • Office Management: Performing general office tasks such as ordering supplies, maintaining office equipment, and overseeing the cleanliness and organization of the workspace.

  • Administrative Support: Providing administrative support to executives, managers, or other team members as needed. This may include preparing reports, presentations, and meeting agendas, as well as assisting with special projects.

  • Customer Service: Serving as a point of contact for internal and external stakeholders, greeting visitors, and addressing inquiries or requests in a professional and courteous manner.

  • Handling Confidential Information: Maintaining confidentiality and discretion when handling sensitive information, such as personnel records, financial data, or strategic plans.

  • Problem-Solving: Identifying and resolving administrative issues or challenges in a timely and efficient manner. This may involve troubleshooting technical problems, resolving scheduling conflicts, or finding alternative solutions to meet deadlines.

Qualifications and Competencies

  • Education: A high school diploma or equivalent is typically required for entry-level administrative assistant positions. Some employers may prefer candidates with additional education, such as an associate's degree or coursework in office administration.

  • Computer Skills: Proficiency in basic computer applications such as word processing, spreadsheet software, email, and calendar programs is essential. Familiarity with industry-specific software or databases may be required depending on the organization.

  • Organizational Skills: Strong organizational abilities are critical for managing multiple tasks, prioritizing workload, and meeting deadlines in a fast-paced environment.

  • Communication Skills: Excellent written and verbal communication skills are important for interacting with colleagues, clients, and other stakeholders effectively.

  • Attention to Detail: Paying close attention to detail is essential for accurately inputting data, proofreading documents, and ensuring accuracy in all aspects of administrative work.

  • Adaptability: The ability to adapt to changing priorities, procedures, and circumstances is important for thriving in a dynamic work environment.

  • Professionalism: Maintaining a professional demeanor, both in person and in written communication, is crucial for representing the organization positively and building rapport with stakeholders.

  • Problem-Solving Skills: Being able to identify issues, evaluate options, and implement solutions independently or with minimal supervision is valuable in resolving administrative challenges.
