Job Title: Accounts and Admin
Organisation: Securitex
Duty Station: Mutungo, Kampala, Uganda
The Accounts and Administration Officer is responsible for managing the organization’s financial records, ensuring compliance with accounting standards, and handling administrative functions to support smooth day-to-day operations. This role requires strong organizational, financial, and interpersonal skills to balance accounts and administrative responsibilities effectively.
Duties, Roles and Responsibilities
Key Responsibilities
Accounting Duties:
Maintain accurate financial records, including accounts payable, receivable, and general ledger.
Prepare and process invoices, receipts, and payments.
Reconcile bank statements, cashbooks, and supplier accounts.
Assist in budget preparation, monitoring, and reporting.
Prepare financial reports, including profit and loss statements and balance sheets.
Ensure compliance with tax regulations and prepare statutory returns (e.g., VAT, PAYE, NSSF).
Administrative Duties:
Oversee office supplies and ensure timely procurement and replenishment.
Maintain and update employee records and support HR functions, such as leave tracking and payroll processing.
Organize and manage company documents, including contracts, agreements, and correspondence.
Coordinate meetings, appointments, and travel arrangements for staff.
Compliance and Policy Implementation:
Ensure compliance with company policies, financial regulations, and legal requirements.
Assist in developing and implementing administrative procedures to improve efficiency.
Communication and Support:
Serve as a point of contact for internal and external inquiries related to finance and administration.
Support the management team with data, reports, and analysis for decision-making.
Liaise with vendors, clients, and service providers as required.
Other Duties:
Support internal and external audits by preparing necessary documentation.
Identify and resolve discrepancies in financial records and administrative processes.
Perform other related tasks as assigned by the management.
Qualifications, Education and Competencies
Key Skills and Competencies
Strong knowledge of accounting principles and practices.
Excellent organizational and multitasking skills.
Proficiency in accounting software (e.g., QuickBooks, Tally) and Microsoft Office Suite.
Effective communication and interpersonal skills.
Attention to detail and problem-solving abilities.
Ability to work independently and as part of a team.
Qualifications
Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.
Professional qualifications such as CPA, ACCA, or equivalent (an advantage).
Proven experience in accounting and administrative roles.
Knowledge of payroll systems and tax regulations.
Working Conditions
Ability to work in a fast-paced environment and meet deadlines.
Flexibility to work extra hours during peak periods.
