Job Title: Accounts and Admin

The Accounts and Administration Officer is responsible for managing the organization’s financial records, ensuring compliance with accounting standards, and handling administrative functions to support smooth day-to-day operations. This role requires strong organizational, financial, and interpersonal skills to balance accounts and administrative responsibilities effectively.

How to Apply

Key Responsibilities

  1. Accounting Duties:

    • Maintain accurate financial records, including accounts payable, receivable, and general ledger.

    • Prepare and process invoices, receipts, and payments.

    • Reconcile bank statements, cashbooks, and supplier accounts.

    • Assist in budget preparation, monitoring, and reporting.

    • Prepare financial reports, including profit and loss statements and balance sheets.

    • Ensure compliance with tax regulations and prepare statutory returns (e.g., VAT, PAYE, NSSF).

  2. Administrative Duties:

    • Oversee office supplies and ensure timely procurement and replenishment.

    • Maintain and update employee records and support HR functions, such as leave tracking and payroll processing.

    • Organize and manage company documents, including contracts, agreements, and correspondence.

    • Coordinate meetings, appointments, and travel arrangements for staff.

  3. Compliance and Policy Implementation:

    • Ensure compliance with company policies, financial regulations, and legal requirements.

    • Assist in developing and implementing administrative procedures to improve efficiency.

  4. Communication and Support:

    • Serve as a point of contact for internal and external inquiries related to finance and administration.

    • Support the management team with data, reports, and analysis for decision-making.

    • Liaise with vendors, clients, and service providers as required.

  5. Other Duties:

    • Support internal and external audits by preparing necessary documentation.

    • Identify and resolve discrepancies in financial records and administrative processes.

    • Perform other related tasks as assigned by the management.

Key Skills and Competencies

  • Strong knowledge of accounting principles and practices.

  • Excellent organizational and multitasking skills.

  • Proficiency in accounting software (e.g., QuickBooks, Tally) and Microsoft Office Suite.

  • Effective communication and interpersonal skills.

  • Attention to detail and problem-solving abilities.

  • Ability to work independently and as part of a team.


Qualifications

  • Bachelor’s degree in Accounting, Finance, Business Administration, or a related field.

  • Professional qualifications such as CPA, ACCA, or equivalent (an advantage).

  • Proven experience in accounting and administrative roles.

  • Knowledge of payroll systems and tax regulations.
