Job Description
The Stores Executive will manage inward and outward goods movement, inventory records, and stock reconciliations while supporting the finance team in billing and financial documentation. The role requires preparing purchase bills, goods receipt notes, delivery challans, and assisting with audits and ERP data entry. Additionally, the candidate will handle billing discrepancies, maintain proper documentation, prepare periodic reports, and support the accounts department in processing vendor payments. This role ensures effective coordination between stores and finance while adhering to compliance, accuracy, and reporting standards.
Duties, Roles and Responsibilities
Manage inward and outward movement of goods with proper documentation.
Maintain accurate and up-to-date inventory records.
Generate purchase bills, delivery challans, and goods receipt notes (GRNs).
Reconcile billing discrepancies and coordinate with vendors and internal teams.
Support finance in entering purchase invoices, credit notes, and GST-compliant billing.
Assist in monthly stock audits, physical verification, and reporting.
Label, store, and trace stock items appropriately.
Update ERP/store management software with accurate data.
Prepare periodic reports on inventory, billing, and consumption trends.
Maintain organized and auditable store records and files.
Work with accounts to ensure timely vendor payments.
Follow compliance, safety, and documentation protocols.
Qualifications, Education and Competencies
Degree/Diploma in Accounting, Commerce, Business Administration, or related field.
2–5 years’ experience in store operations with exposure to billing and finance.
Knowledge of inventory control, purchasing processes, and stock reconciliation.
Proficiency in billing systems, ERP software, and MS Excel.
Basic understanding of invoices, debit/credit notes, and taxation.
Strong communication and coordination skills.
Ability to work independently with accuracy and within deadlines.
Working knowledge of English and local language preferred.
