Job Description
Reporting to the Property Officer, the Stores Assistant will be responsible for managing all aspects of the store, including receiving deliveries, maintaining inventory records, issuing supplies to staff, monitoring stock levels, and conducting regular stocktaking. The role also includes ensuring compliance with internal procedures, participating in field trip logistics, and supporting clerical and administrative duties when needed. The successful candidate will be required to use the Sylogist Accounting System and other tools to track stock levels and ensure proper inventory management.

Store and Supplies Management (60%)
Receive and verify deliveries against purchase orders and delivery notes.
Maintain accurate inventory records for equipment and office supplies.
Distribute supplies to staff and manage issuance/recovery during onboarding and offboarding.
Monitor stock levels and submit timely purchase requests.
Organize and label store inventory for easy retrieval and stocktaking.
Ensure cleanliness and security of the store.
Generate and share weekly stock reports with the Property Supervisor.
Compliance (20%)
Monitor expiry dates and report aging stock.
Implement efficient storage methods and ensure policy adherence.
Maintain stock data in the Sylogist Accounting System.
Collaboration and Engagement (15%)
Pack and manage supplies for field trips, ensuring proper return and condition.
Assist with clerical tasks, including photocopying and check/cash banking.
Provide backup support to drivers when required.
Additional Responsibilities (5%)
Perform other duties as assigned to support RSC Africa operations.

Qualifications, Education and Competencies
Education:
Bachelor’s Degree in Logistics, Supply Chain Management, or related field required.
Equivalent of four years of directly related experience may be accepted in lieu of a degree.
Experience:
Minimum 4 years of work experience.
At least 1 year in storekeeping and stock recording.
NGO experience preferred.
Skills & Competencies:
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, Access).
Strong communication skills in English (written and oral).
Excellent organizational, time management, and interpersonal skills.
High attention to detail and understanding of confidentiality.
Analytical skills with the ability to document and process information accurately.
Ability to manage a high workload independently and under pressure.
Special Requirements:
Willingness and ability to travel under challenging conditions.
Proof of Yellow Fever vaccination.
Background check required prior to employment.
Valid passport and ability to travel regionally.
Physical ability to lift/carry heavy loads and work in challenging environments.
Commitment to safeguarding and preventing exploitation and abuse.
