About the Organisation

The Central Rift Valley Water Works Development Agency (CRVWWDA) is one of Kenya’s nine Water Works Development Agencies, established under Section 65 of the Water Act, 2016. Officially constituted through Kenya Gazette Notice No. 4 dated 7th February 2020, the Agency serves the Counties of Nakuru, Narok, Laikipia, Baringo, and Nyandarua, focusing on the development of water and sanitation infrastructure.

Job Description

The officer will manage office functions including handling communication, maintaining records, coordinating meetings, supervising office staff, and ensuring the security, confidentiality, and integrity of information. The role requires strong organizational skills and the ability to work under the guidance of a senior manager.

Duties, Roles and Responsibilities

  • Taking oral dictation.

  • Using e-office systems to research and process data.

  • Operating office equipment.

  • Attending to visitors and clients.

  • Handling telephone calls and customer inquiries.

  • Coordinating schedules for meetings and appointments.

  • Making travel arrangements.

  • Ensuring security of office records, equipment, and classified documents.

  • Maintaining information confidentiality and integrity.

  • Keeping an up-to-date office filing system.

  • Preparing responses to routine correspondence.

  • Managing office protocol and etiquette.

  • Supervising other office administrative services personnel.

  • Maintaining office diary, appointments, and travel itineraries.

  • Overseeing office cleanliness.

Qualifications, Education and Competencies

  • A minimum of nine (9) years relevant work experience, three (3) of which must be in the grade of Assistant Office Administrator I or an equivalent position.

  • Diploma in Secretarial Studies from a recognized institution.OR

  • Business Education Single and Group Certificates (BES&GC) Stages I, II, and III from Kenya National Examinations Council (KNEC) in:

    • Shorthand III (minimum 120 w.p.m.)

    • Typewriting III (50 w.p.m.)/Computerized Document Processing III

    • Business English III/Communications III

    • Commerce II

    • Office Practice II/Office Procedures

    • Office Management III/Office Administration and Management III

    • Secretarial Duties II

  • Proficiency in computer applications.
