Job Description
The Secretary plays a vital role in supporting the executive team by managing schedules, handling communications, organizing documentation, and coordinating meetings. This role requires excellent organizational skills, the ability to handle confidential information with discretion, and proficiency in office tools. The Secretary will also assist with travel arrangements, prepare reports, and support various administrative functions across departments.
Duties, Roles and Responsibilities
Manage and coordinate executive schedules, appointments, and travel arrangements
Draft, edit, and proofread official correspondence, memos, and reports
Handle sensitive and confidential documents with professionalism
Organize and maintain both physical and digital filing systems
Screen phone calls and direct them appropriately
Coordinate internal and external meetings, including preparing agendas and taking minutes
Assist in organizing office events and managing special projects as assigned
Qualifications, Education and Competencies
HND or Bachelor’s degree in Secretarial Studies, Business Administration, or related field
At least 3 years of experience in a secretarial or administrative role
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Familiarity with standard office equipment (printers, copiers, scanners)
Excellent communication, time management, and multitasking skills
High level of discretion and integrity in handling confidential information
