Job Description

The School Administrator coordinates operational activities across the school, including enrolment and learner records, examinations logistics, staff and pupil schedules, meetings and events, procurement of supplies, facility support, front-office reception, and stakeholder communication. The role maintains accurate documentation and confidential files, prepares routine reports, supports basic finance/admin tasks (petty cash, requisitions), oversees adherence to school policies and GES/inspection requirements, and ensures smooth information flow between management, teachers, parents, and service providers—all within the school’s Christian values.

  • Oversee admissions, transfers, attendance and cumulative learner records (physical & digital).

  • Prepare term calendars, timetables, assessment/exam schedules and invigilation rosters.

  • Manage reception/front office: calls, emails, visitor protocol and correspondence.

  • Draft letters, circulars, newsletters and maintain parent communication channels.

  • Support basic finance/admin: procurements & quotations, requisitions, petty cash tracking, fee reconciliation support.

  • Maintain inventories for teaching/office supplies; coordinate vendors and service providers.

  • Arrange staff/parent meetings, school events and co-curricular logistics.

  • Ensure compliance with school policies, child safeguarding, health & safety and GES requirements; maintain orderly filing and audit-ready documentation.

  • Provide ICT/administrative support for teachers (printing, registers, data entry, MIS updates).

  • Prepare routine reports for school leadership and keep strict confidentiality.

  • Model and promote Christian values consistent with the school ethos.

Qualifications, Education and Competencies

  • Education: Bachelor’s degree in Administration, Education, Management or related field.

  • Experience: 3–5 years administrative/management experience (school setting preferred).

  • Technical skills: Proficiency in MS Office (Word, Excel, PowerPoint), document management, basic budgeting/requisition processes; familiarity with school MIS an advantage.

  • Professional competencies: Excellent organisation, time management, written/verbal communication, stakeholder service, and attention to detail.

  • Personal attributes: Integrity, professionalism, discretion with confidential information, teamwork, initiative, and alignment with Christian values.
