Greeting Visitors: Welcoming visitors, clients, and guests as they arrive at the office or facility with a friendly and professional demeanor.
Answering Calls: Managing incoming calls, screening and transferring them to the appropriate department or individual, or taking messages as necessary.
Handling Mail and Deliveries: Sorting and distributing incoming mail, packages, and deliveries to the appropriate recipients. Preparing outgoing mail and packages as needed.
Scheduling Appointments: Managing the appointment calendar for meetings, conferences, and appointments. Scheduling appointments and coordinating meeting rooms or spaces as required.
Providing Information: Responding to inquiries from visitors, callers, and employees regarding the company, its services, and general information.
Assisting Visitors: Assisting visitors with sign-in procedures, issuing visitor badges, and providing directions or information about the facility.
Administrative Support: Providing general administrative support to various departments, such as data entry, filing, photocopying, and scanning documents.
Maintaining Reception Area: Ensuring the reception area is clean, organized, and presentable at all times. Arranging magazines, brochures, and promotional materials as needed.
Handling Reservations: Managing reservations for conference rooms, meeting spaces, and other facilities. Coordinating with staff to ensure rooms are prepared and set up for meetings.
Security Procedures: Enforcing security procedures, such as verifying identification for visitors, ensuring access controls are followed, and monitoring surveillance systems if applicable.
Handling Emergencies: Responding calmly and efficiently to emergency situations, such as medical emergencies or building evacuations. Contacting appropriate personnel or emergency services as needed.
Supporting Staff: Assisting staff with various tasks, such as booking travel arrangements, arranging catering for meetings, and providing administrative support as requested.
Maintaining Records: Keeping accurate records of visitor logs, appointments, and other relevant information. Compiling data and generating reports as needed.
Customer Service: Providing excellent customer service to all visitors, callers, and employees. Addressing concerns or complaints promptly and professionally.
Adhering to Policies: Following company policies and procedures related to receptionist duties, confidentiality, security, and safety protocols.

Proven experience as a receptionist or in a customer service role, preferably in the hospitality industry.
Excellent communication and interpersonal skills, with a friendly and professional demeanor.
Strong organizational abilities and attention to detail.
Proficiency in using computers and reservation systems.
Ability to multitask and work efficiently in a fast-paced environment.
Flexibility to work shifts, including evenings, weekends, and holidays
Knowledge of multiple languages (especially languages commonly spoken by guests) is an added advantage.
