Dei BioPharma Ltd is a biotech and pharmaceutical research firm duly incorporated in Uganda Specializing in the development and manufacture of innovative medicines and vaccines. Our state-of-the-art manufacturing facility, site Matugga, Wakiso district, Uganda, shall produce high-quality medicines across a wide range of therapeutic areas, including:
• Dermatology: Skin conditions.
• Orthopedics: Musculoskeletal system.
• Psychiatry: Mental health and disorders.
• Immunology Immune system and related disorders.
• Neurology: Nervous system disorders.
• Gastroenterology: Digestive system and its disorders.
• Endocrinology: Hormones and endocrine system.
• Pulmonology: Respiratory system and lung conditions
• Cardiology: Heart and cardiovascular system.

Greeting and Welcoming Visitors:
Receive and welcome visitors warmly and direct them to the appropriate person or department.
Ensure the reception area is tidy and presentable with all necessary materials (e.g., brochures, forms).
Answering and Directing Calls:
Answer, screen, and forward incoming phone calls.
Provide basic information to callers and take messages when necessary.
Managing Appointments:
Schedule and manage appointments, meetings, and conference room bookings.
Maintain appointment calendars and notify staff of scheduled meetings.
Handling Inquiries:
Respond to general inquiries in person, via email, and over the phone.
Provide information about the organization’s services, products, and policies.
Mail and Correspondence:
Receive, sort, and distribute daily mail and deliveries.
Prepare outgoing mail and packages.
Administrative Support:
Perform basic clerical duties, such as data entry, filing, photocopying, and faxing.
Assist with administrative tasks and provide support to other departments as needed.
Visitor Management:
Maintain visitor logs and issue visitor badges.
Ensure visitors follow security procedures and policies.
Supplies Management:
Monitor and order office supplies to ensure the reception area is adequately stocked.
Coordinate with vendors and service providers for office maintenance and supplies.
Maintaining Office Security:
Follow security procedures for visitors and maintain confidentiality.
Monitor access control systems and report any suspicious activity.
Event Coordination:
Assist in organizing and coordinating office events and meetings.
Prepare meeting rooms, including arranging furniture and equipment.

Education:
High school diploma or equivalent.
Additional qualifications in office administration or related fields are advantageous.
Experience:
Proven work experience as a receptionist, front office representative, or similar role.
Experience with administrative and clerical procedures.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Familiarity with office equipment, such as printers, copiers, and fax machines.
Strong organizational and multitasking abilities.
Excellent verbal and written communication skills.
Personal Attributes:
Friendly and professional demeanor.
Good interpersonal skills and the ability to interact with a diverse range of people.
Punctuality and reliability.
Attention to detail and a high level of accuracy.
Additional Requirements
Technical Skills:
Basic knowledge of office management systems and procedures.
Familiarity with scheduling and appointment management software.

Proficiency in additional languages can be a plus, especially in multicultural environments.
