How to Apply
Monitor the Compilation/consolidation of information into briefs in preparation for Executive meetings or visits.
Manage the Executive Director’s schedule, appointments and update diary
Monitor the coordination of the Executive Director’s travels, and activities with the rest of the Bureau.
Presentation of the received and summarized contents from the suggestion box(es) and submit them to Executive Director for action.
Receive and guide visitors to the Executive Director’s office. Handle visitors appropriately with good customer care.
Schedule all incoming correspondences to the Executive Director with prioritization and routing them accordingly.
Coordinate and monitor the reservations and bookings for the conference hall, Boardroom and Committee room.
Monitor the correct filling of office documentation and tracking/location.
Monitor and coordinate the Planning, budgeting and management of office logistics.
Monitor petty cash and accountabilities made and requisitions for office supplies.
Perform any other duties as may be assigned from time to time.
Post-Graduate Diploma in Law, Management /Administration, Human Resource Management, Protocol and Diplomacy will be an added advantage.
An Honors Bachelor’s Degree in Office and information management, Secretarial Studies, SWASA; Social Sciences, Public Administration; Law or Arts or relevant field.
Experience and Other requirements:
6 years’ experience with at least two (2) years at Senior Officer level.
Membership of professional bodies such as Institute of Chartered Secretaries and Administrators (ICSA)
Certified Professional Secretary (CPS) or Certified Administrative Professional (CAP) status
Analytical, Interpersonal skills, Report writing, Communication skills.
Must be knowledgeable in the use of computer applications
Proven leadership skills
Objectivity and independence
Possess the ability to work as a team.
Analytical, interpersonal and change management skills.
