Job Description
The Payroll and Administration Officer will be responsible for processing payroll accurately and timely while handling various HR and administrative tasks to support staff management. This includes managing the HR information system (HRIS), maintaining personnel files, ensuring compliance with HR policies, managing employee benefits, and supporting internal audits and staff relations. The role is vital in ensuring employees receive accurate compensation and that administrative functions operate efficiently and within regulatory standards.
Duties, Roles and Responsibilities
Manage the HRIS and ensure system efficiency
Conduct regular personnel file audits and obtain missing information
Maintain both physical and electronic personnel files
Ensure data protection and confidentiality compliance
Assist in updating HR policies and procedures
Manage staff benefits (leave, insurance, phone credits, fuel cards)
Keep accurate records on staff absences, injuries, and incapacity
Support resolution of employee relations issues and attend meetings
Ensure compliance with HR policies and labor laws
Collect, calculate, and enter payroll data
Maintain and update payroll and benefits records
Compile statutory reports (earnings, deductions, taxes)
Resolve payroll discrepancies
Respond to payroll-related queries
Process all payroll input by deadlines
Attend quarterly departmental meetings and collective bargaining negotiations, taking minutes
Use IT tools to communicate, generate reports, and draft letters
Perform any other duties as assigned
Qualifications, Education and Competencies
Proven experience in payroll processing and HR administration
Knowledge of HR policies, labor laws, and compliance standards
Familiarity with HRIS systems and database management
Strong attention to detail and organizational skills
Excellent communication and interpersonal abilities
Proficiency in MS Office and payroll software
Ability to handle confidential information with discretion
Strong analytical and problem-solving skills
