Job Description
Job Title: Operations Manager (Female Candidate Preferred)

Reports to: Country General Manager
General description
As a member of the senior management team in the organization, this role is responsible for ensuring that, through the job holder’s department, the organization can meet its revenue and profitability objectives, among other responsibilities. The incumbent will be required to perform but not limited to the below duties:
Duties, Roles and Responsibilities
Compliance
Comply with the Cerba Lancet Africa company policies and procedures.
Follow the Health, Safety and Environmental regulations.
Drive the Cerba Lancet Africa values.
Ensure compliance with all statutory requirements, including ISO requirements, audits, finance, and accounting management requirements.
Drive good governance and compliance across all business aspects
Operational Duties
Ensure that the maintenance of various company equipment, including records and any non-conformances, is timeously escalated
Negotiate with various suppliers to ensure staff training on the use of relevant analysers
Monitor efficiency at the sites and communicate monthly progress through agreed-upon reports.
Regularly evaluate and update site performance on new tests and the viability of the tests being analysed.
Develops, manages, communicates, and ensures implementation of working instructions, standard operating procedures, and operational standards (including LEAN principles)
Ensure all relevant operating Licences are renewed and up to date.
Works with relevant group Managers to develop and justify annual budget requirements and ensure cost-effectiveness.
Work closely with other business units to ensure that problems and issues are resolved within reasonable timelines, and that clear and open communication is maintained.
Procurement and Vendor management
Developing long-term business relationships with suppliers & vendors to secure competitive pricing on key materials or services.
Responsible for ensuring the organisation receives competitive prices from suppliers to ensure cost-
Where necessary, launch RFQ’s and ensure the process is transparent and guarantees the organisation’s best pricing
Regularly negotiate pricing for various reagents and ensure optimal pricing
On an annual basis, conduct a vendor evaluation and weed out poor performance and wrong pricing
Review and Approve vendors as required.
Enforcing compliance to service level agreements with service providers,
Interpretation and presentation of reports to performance status as well as determine expenditure trends of the region
Projects Management Roles
Constitute appropriate project team and chair project management team that will ensure timely execution of projects
Manage the relationship with the relevant stakeholders and third parties to ensure all projects are delivered on time within the stipulated scope and budget
Review and / or design project plan and budgets
Manage changes to the project scope, project schedule, project costs and adjust project constraints based on financial analysis
Implementation of various projects as advised by the immediate manager and or group teams
Evaluate and give update on project
Review project tasks to staff members based on strengths, skill sets, and experience.
Coordinate with projects and technical department to ensure all equipments are operational and advise as and when required.
Co-ordination of Physical Infrastructure Development including Constructions Designs, Planning & Supervision
Works with internal and external parties including Architects, Quantity Surveyors and Management to organize the various components needed to initiate, run, and conclude major projects
Once launched monitor and report project / site ramp-ups to ensure optimal efficiency
Coordinate installations of specialists’ services including but not limited to Structured Cabling, Electrical, Air Conditioning, CCTV, Systems, Time/Attendance Access control & Alarm Systems Installations.
Warehouse Management
Optimization of stock levels and reduction of costs always.
Monitors stock levels across the entities and prepares the relevant monthly reports for decision-making
Responsible for ensuring the safety of the stock
Responsible for organising the biannual stock take, monthly and random stock takes across the region
Ensures there is proper warehouse management in line with good warehouse practices and good distribution practices
Transport and Fleet Management
Direct supervision of all transport department staff and coordinate with the HR department for all transport staff recruitment and assessment of their efficiency and delivery.
Ensure all company vehicles, bikes and gensets are in good working and running condition to include installations.
Oversee roll out and implementation of Logis-Online on all company fleet
Reviews and communicates monthly on the utilisation and transport team effectiveness
Ensures route optimization that will lead to cost savings
Together with the relevant departments and the CGM, design appropriate routes that should be rolled out that will ensure good customer service, improved.
Importation and Inland Transit
Analysing data to identify trends that may indicate a need for change within a company’s supply chain
Oversee importation of goods into the country
Coordinating with the shipping department to arrange the transportation of goods from suppliers to warehouses or sites
Ensure the organisation is compliant with the importation tariffs and guidelines
Ensure that the organisations and management is aware of the various changes in legislature with regards to importation and distribution
Ensure that all the contracts are in place to facilitate importation
Is involved in the selection of vendors to provide the services across the region.
Security
Ensure physical security of company property and assets through reliable and competent security firms
Regularly hold security briefs with security firms on security matters
Advice management on security risks/gaps and work towards closing the gaps
Review the security needs of the organisation
Communicate security matters that may affect staff
General
Contributes as a member of the senior management team and contributes to annual planning processes for budgets and operations of departments.
Work closely with the business unit to ensure that problems/issues are resolved, needs are met, and clear and open communication is maintained.
Support the achievement of organisational strategy and objectives. Ensures the timely implementation of all agreed plans.
Participates in monthly meetings with managers to report on administrative matters, discuss progress against agreed plans and update management on standards, procedures and work instructions.
Plans activities, attends to administrative functions and manages the performance of own staff to ensure that service standards are met in pursuance of the team and Lancet’s strategic objectives.
Provide inputs into the strategic planning of the organisation.
Lead and develop team members through coaching, departmental meeting and one to one discussions actively participate in development conversations with managers.
Adheres to professional conduct requirements in line with organisational policy and relevant professional body ethical standards and monitors compliance of own employees in this regard.
Managing employees in the department, including hiring, training, and evaluating performance
Coordinating with marketing teams to develop new products or improve existing ones based on consumer feedback
Additional Key Responsibilities
Any other job that is assigned to the job holder by manager
Qualifications, Education and Competencies
Bachelor’s degree with relevant course (additional study in laboratory science, commerce in supply chain management or equivalent an added advantage)
Experience in lab management 3-5 years in Senior management
MBA is an added advantage
Registered with the regulatory agency added advantage
