Job Description
The Office Assistant will be part of the administrative team, interacting with various internal departments and external stakeholders. The position covers a broad range of duties such as managing the reception, handling procurement and logistics, arranging meetings, supporting events, managing records and correspondence, and coordinating transport services. The successful candidate will work under the general supervision of the Operations Manager and direct oversight of the Administrative Officer.
Duties, Roles and Responsibilities
Handle reception, greet visitors, answer calls, and guide guests.
Manage office stationery, photocopying, courier handling, and mail registration.
Maintain custody of office supplies and support in vendor-related correspondence.
Schedule and organize meetings, take minutes, and draft memos.
Archive and dispose of documents according to policy.
Register and manage non-Purchase Order vendors and create administrative POs.
Support major events and high-level visits.
Track and resolve service issues with vendors.
Coordinate maintenance and repairs of building equipment.
Maintain and distribute regularly updated contact directories.
Provide general information and assist with client inquiries.
Manage boardroom scheduling and support videoconferences.
Coordinate hospitality and ensure readiness of meeting rooms.
Participate in procurement activities and support safety and emergency procedures.
Assist with visas and welcome letters.
Distribute and collect security cards for visitors.
Transport Coordinator Tasks
Schedule daily and field mission transportation.
Arrange vehicle maintenance appointments.
Keep updated records of vehicle usage, fuel, and maintenance expenses.
Verify and process invoices from shuttle service providers.
Organize quarterly meetings with transport providers to review service agreements.
Qualifications, Education and Competencies
National Diploma or Degree in Business Administration, Secretariat, or equivalent.
At least 3 years of relevant work experience in a large international organization or corporation.
Knowledge of financial/accounting systems.
Proficient in Microsoft Office Suite, SAP, and Lotus Notes.
Strong verbal and written communication skills in English.
Good understanding of World Bank policies and general development issues.
Ability to multitask and manage competing priorities effectively.
Excellent interpersonal skills and ability to work in multicultural settings.
A collaborative team player with a proactive work ethic.
Technologically adept, with the ability to leverage systems for improved efficiency.
Willingness and ability to travel as needed.
