Job Description
As the HR Records Officer, you will oversee the proper storage, archiving, and disposal of employee records. You will coordinate the tracking and retrieval of files, maintain data integrity, and support the HR team in implementing recordkeeping systems and procedures. The role demands confidentiality, attention to detail, and a solid understanding of record management principles. You will also be involved in supporting administrative processes and HR duties related to employee documentation.
Duties, Roles and Responsibilities
Ensure the confidentiality, security, and integrity of physical and electronic employee records.
Monitor and initiate archiving and disposal of files as per retention policies.
Provide timely reports on storage, archiving, and file retrieval.
Manage authorization and disposal of records in line with functional retention policies.
Maintain and update the Records Management System and related documentation.
Support staff with recordkeeping responsibilities and maintain accurate HR databases.
Develop and implement recordkeeping methods, adapting as necessary to meet operational needs.
Assist with general HR tasks related to employee record management.
Qualifications, Education and Competencies
Bachelor’s Degree or HND in Human Resource Management, Business Administration, Industrial Psychology, or related field.
Relevant certification in Records or HR Management is an added advantage.
Minimum of 2 years of experience in human resources or a similar role.
Strong interpersonal and organizational skills.
Proficient in communication and documentation handling.
Ability to maintain confidentiality and work with integrity.
Proficiency in HR systems and data management tools.
Effective conflict resolution, negotiation, and presentation skills.
Detail-oriented with project and people management abilities.
