Job Description
The HR and Administration Officer will be responsible for overseeing day-to-day administrative operations and logistics to ensure smooth functioning of the office. This role involves managing office supplies and procurement, coordinating travel and accommodations, supporting recruitment and onboarding processes, maintaining inventory systems, and ensuring compliance with organizational and donor regulations. The Officer will work closely with the HR and Admin Manager to ensure a productive and secure working environment for project staff.
Duties, Roles and Responsibilities
Manage daily office upkeep and cleanliness, including repairs and maintenance.
Coordinate logistical support such as hotel bookings, travel, office setup, and event organization.
Procure and manage office supplies and activity materials.
Maintain office store records and monitor inventory usage.
Work with travel agents for all local and international travel arrangements.
Create and maintain both physical and electronic administrative files.
Support safety and security arrangements for the office premises.
Oversee maintenance schedules and supervise external service providers.
Support recruitment processes including advert placement, applicant screening, interview coordination, and staff documentation.
Ensure HR and administrative compliance with organizational policies and procedures.
Perform other duties as assigned by the HR and Admin Manager.
Qualifications, Education and Competencies
Bachelor’s degree in Human Resources, Business Administration, Public Administration, or a related field.
Minimum of 3 years’ experience in office management or HR roles within international organizations or multinational companies.
Strong problem-solving and supervisory skills.
Excellent verbal and written English communication.
Proven ability to multitask and work under pressure.
Experience in inventory and records management.
Proficiency in Microsoft Office Suite (Word, Excel).
Familiarity with both manual and digital filing systems.
High attention to detail, confidentiality, and professionalism.
Previous experience with international NGOs is an added advantage.
